In this step, you specify the document types for the quality documentation (Q-documents).
The document type is a part of the document key in the document management system. Among other things, it controls the:
- Number range
- Version management
- Status change when maintained
- Screen layout
Requirements
The document management system is available for use as a cross-application function.
Standard settings
- The system supports the exchange of Q-documents with vendors in two forms:
- Technical delivery terms (document type Q02)
- If the control key for the material stipulates technical delivery terms, you must store documents of the corresponding document type in the material master at plant level.
- Quality assurance agreements (document type Q01)
- If the control key for the material requires quality assurance agreements with the vendor, you must store documents of the corresponding document type in the Q info-record for the supply relationship (vendor/material/plant).
These documents are accessed during procurement transactions (that is, when requests for quotations are received and when purchase orders are issued) and dispatched to the vendor.
The standard system contains fixed settings for these document types, for example:
- When a document is changed, a new version is created in the system.
- The status sequence of a document has been appropriately defined.
The definition and adaptation of these document types is described in the section Quality Planning, Quality Management in Procurement.
- There are two document types available for documenting the quality management activities in sales and distribution:
- Quality assurance agreements (document type Q03);
- These documents are stored in the customer info-record.
- Quality specifications (document type Q04);
- These documents are assigned to a material in the customer info-record.
The documentation for QM in sales and distribution is for information only; unlike the documentation for QM in procurement it is not automatically processed. You can therefore freely define the settings for the relevant document types.
Recommendation
Retain the settings contained in the standard system for the document types.
Activities
- Check the settings of the document types Q01 through Q04 for Quality Management.
- Check the settings of the document types in the document management system, insofar as they may be significant to quality management.
