Use of the key figure for analysis purposes

These key figures give an overview of the frequency of use of an operation mode.

They can be used to recognize load cycles and optimization potential.

If this function often occurs when there is a considerable burden on the system, this will doubtless have a negative effect on the other parallel activities.

Example:

For reasons that will not be detailed here, the transport logistics and shipping departments run daily preparations between 7 and 11 at maximum output for the coming day. To ensure that shipping activites start at two without a problem, all of the deliveries, goods, shipping and freight papers for the coming day must be prepared and printed out.

Between 12 and 13 Uhr the workers are at lunch.

Between 10 and 11:30 most of the sales orders and inquiries come into the telephone sales department. Some of these cannot be processed or only after waiting time. Some of the customers or sales prospects will then have already moved onto rival companies, where they expect to get served quicker.

A study by the management has shown that with a probability of 99.89% the main business times in both departments are between 9.53 and 11.06 and the system has the slowest response time during this period.

How can the situation be alleviated ?

Structure and use of detail displays

This detail display shows the frequency of use for each operating mode on different days and at different times of the day (24 hours) over the whole sample period.

After selecting the line from the table and pressing the sample key, you can use the Additional infos key to branch from the entry box into a log display. If you choose Additional infos without pressing the sample key, you branch into the general selection screen for displaying logs.

Notes for optimization

There are several approaches for dealing with the above example:

1. Background processing overnight with automatic start

Use of the function online only in exceptional cases. Main burden on system is during the night in an unused time window, carried out as a background job.

This lessens the burden on the system and also has the added advantage that the required documents are printed out ready for the next working day, follow-up processes and steps can be started quicker and there is a potential for more deliveries. There is also less pressure on personnel.

2. Parallel processing of work list runs

If the required volume of sales orders due for shipping cannot be dealt with in one run or in the night time available, parallel processing of several jobs using different servers is a possibility.

In order that the jobs do not hinder each other - for example, during serialization on the database- there should be suitable data selection and splitting criteria for the documents for each job.

3. General reduction of processing frequency and use of background jobs during times of the day when there is not much of a burden on the system.

As an organizational measure in the above example, deliveries created using the delivery list should only be carried out online in exceptional cases (for example, express deliveries) and then with heavily restricted selection conditions, and under no circumstances between 10 and 11 am. Any urgent cases to be dealt with at that time can be dealt with using the transaction Create delivery (individual document).

Splitting both department's activities by storing telephone sales on a separate, fast server. This option is a further measure available.

These are relatively cheap and easy to implement options for technical and organizational optomization. Of course, there are lots of other alternatives. These will not be gone into here as only a restricted amount of information can be given at this point in the online help.
