How to Select Deliveries

On this screen you specify selection criteria for selecting deliveries that you want to assign to a shipment.

In some cases, however, the selection does not return the desired results. To enable you to understand why a specific delivery cannot be included in a shipment, we will provide a short explanation of how the process of selecting deliveries works. In the following, the term "delivery" is used; it may, however, refer to deliveries, return deliveries (also called "returns"), and incoming deliveries.

How the Process of Selecting Deliveries Works

When you create or change a delivery, the system determines the transportation planning status of the delivery. This status indicates the degree to which this delivery has been processed by the transportation planning department.

The status can have the following values:

  • ' ' Not relevant for transportation
  • A Relevant for transportation, not processed
  • B Relevant for transportation, partially processed
  • C Relevant for transportation, completely processed

The status must not be blank (' ') since you cannot select deliveries with a blank status.

The transportation planning status is displayed in transactions VL01, VL02, and VL03 when you access the 'Transport-relevant info' screen. For more information on how the system determines this status, refer to the F1 help.

If the transportation planning status is not set to ' ', you can usually select the delivery in VT01 if it meets the selection criteria specified and if it has successfully run through several system checks (see below for an explanation).

If the system cannot select a specific delivery, use the following check list.

Check List

  • Is the transportation planning status of the delivery set to a value other than ' ' (blank)? (After you have created a delivery, the status should be set to 'A'.)
    If this is not the case, please check whether:
    • Transportation relevance has been specified for the delivery type in Customizing.
      (Customizing: Logistics Execution -> Transportation -> Shipments -> Specify transportation relevance. In this case, choose Maintain transportation relevance for delivery types.)
    • A route is specified in the delivery and transportation relevance has been maintained for this route in Customizing.
      (Customizing: Logistics Execution -> Transportation -> Shipments -> Specify transportation relevance. In this case, choose Maintain transportation relevance for routes.)
    • A shipment blocking reason may be set in the delivery.
      (VL01, Change delivery: Header -> Transport-relevant info, see 'ShpmtBlReason' field).
      If a shipment blocking reason is set in the delivery, it may be the case that the reason has been copied automatically from the Customizing settings for the delivery type.
      (Customizing: Logistics Execution -> Transportation -> Shipments -> Specify transportation relevance. In this case choose Maintain transportation relevance for delivery types.)
    • Note: For incoming deliveries ('EL' delivery type), you only need to check the first point.
    • CAUTION: If you modify the Customizing settings after you have created a delivery, the new configuration will not take immediate effect. You first need to modify and save the delivery again so that the system can redetermine the status based on the new Customizing settings.
    • CAUTION: The system redetermines the transportation planning status also in transaction VL03 (Display delivery). This means that the data displayed in VL03 may differ from the actual database contents. We therefore strongly recommend that you first execute transaction VL02 and save the data.
  • After you have carried out these checks, the transportation planning status should be set to a value other than blank (' '), usually to 'A'. When subsequently selecting deliveries in transactions VT01 and VT02, take note of the following:
    • You can assign either deliveries/returns or incoming deliveries to a shipment. Combinations are not allowed. Consequently, you can select documents either for deliveries/returns or for incoming deliveries.
      Based on the shipment type assigned to a shipment and specified on the initial screen of transaction VT01, the system determines whether the shipment is an inbound or an outbound shipment. This is controlled by the 'Transportation processing type' indicator which is set in Customizing for the shipment type.
      Logistics Execution -> Transportation -> Shipments -> Define shipment types. For inbound shipments, the Transportation processing type indicator on the detail screen of the shipment type should be set to
      '1' (Loaded outbound shipment)
      This enables you to select deliveries/returns for these shipments.
      If this indicator is set to
      '2' (Loaded inbound shipment)
      you can only select incoming deliveries.
    • For each shipment type, you can define default selection criteria. To do this, you specify a selection variant in the shipment type:
      Logistics Execution -> Transportation -> Shipments -> Define shipment types. Enter the variant in the 'Selection var.' field on the detail screen.
      CAUTION: Fields in a selection variant that have specific values may be simultaneously set to invisible (for example, this makes sense if you usually select deliveries from shipping point '0001' and do not want to display that field). Please be aware of the fact that these criteria are nevertheless taken into account during selection (using the selection variant in the above example you would not be able to select deliveries from shipping point '0002').
    • The selection screens for deliveries/returns and incoming deliveries look different since they contain different fields (for example, the ship-to party).
      CAUTION: You should not use selection variants defined for outbound shipments for inbound shipments and vice versa.
      Example: You have defined a selection variant for deliveries that specifies ship-to party 'XY'. If you use this variant for incoming deliveries (that is, for inbound shipments), the 'Ship-to party' field will not appear on the screen since an incoming delivery does not indicate a ship-to party. Nevertheless, this field contains a value and will be taken into account during selection. However, since there is no incoming delivery with a ship-to party (and certainly none with ship-to party 'XY'), the system is unable to find an incoming delivery.
    • Have you specified the selection criteria correctly? Please check, for example, if the spelling of the ship-to party name is correct (case-sensitivity!).
    • Does the system display the correct transportation planning status? The default values are 'A' and 'B'. If you want to select deliveries that have been processed completely, you have to enter 'C'. A status of ' ' has no effect since deliveries with a blank transportation planning status are not added to the VTRDI transportation planning index and are therefore not available for selection.
    • Is the goods movement status correct? The default value is 'A'. However, if you want to select deliveries posted for goods issue (for planning a subsequent shipment at a late time, for example), you have to specify 'C'.
    • Do you want to select returns, deliveries, or both? Please choose the corresponding screen option.
    • Please note that if you specify multiple selection criteria, these criteria are linked by an AND operation, not by an OR operation. This means that a delivery must simultaneously meet all criteria you have specified. In rare cases, this requirement may lead to a situation where no delivery can be found.
      Example 1: You have simultaneously specified ship-to party 'XY' and shipping conditions '01'. However, no deliveries using this ship-to party and these shipping conditions exist in the system.
      Example 2: In section 'W ref to', you have specified shipment number A and order number B. This means that you want to select all deliveries that are allocated to shipment A and have order B as a source. However, if the deliveries that are based on order B are not included in shipment A, the selection returns no results.
  • If after you have specified the selection criteria and executed the selection process in transaction VT01 the system is unable to select a specific delivery, it may be the case that the selection has failed due to internal system checks. If a delivery is not selected as a result of these checks, this is recorded in the selection log. You can access this log from the 'Deliveries for transportation' screen by choosing Edit -> Selection log. Possible reasons are:
    • The delivery is blocked by another user. This may happen if the other user executes transaction VL02 or has also selected the&#x
