Definition

Specifies the following for a settlement (settlement of operating costs, heating expenses, or sales-based settlement): whether or not the debited advance payment receivables that are not yet paid remain open (settlement using the planned principle) or if they are cleared by being offset against the corresponding payable (settlement using the actual principle).

Use

  • Indicator is not set (' ')

    The settlement settles on the basis of actual advance payments. After settlement, both the "receivables from advance payments" and the "payables from advance payments" are cleared. The tenant has no further payments to make related to the settlement apart from those amounts already determined in the settlement.
    Keep in mind here that the system only considers open items that result directly from the advance payment condition. If, for example, a partial clearing was made, then the system does not take the partial total into account.

  • Indicator is set ('X')

    The settlement settles on the basis of planned advance payments. This means that the calculation of the settlement result is made regardless of whether or not a "receivable from advance payments" was paid. As a result, any receivables that were not paid remain open and due. On the other hand, the "payables from advance payments" (if the advance payment was posted as special G/L transaction) are cleared regardless of the setting for this indicator (credit memo for the tenant).
    We especially recommend that you use settlement based on planned advance payments when you use external settlement of heating expenses, if you still expect incoming payments after the M/L-tape was created.
    For settlement of operating costs and sales-based settlement, setting this indicator is useful in the following case (in some countries this is actually required by law, see below): if court action for dunning was already taken for outstanding advance payments, and these outstanding payments should therefore not be cleared by the settlement. We also recommend setting this indicator if partial clearing of advance payment receivables took place.
    Note:
    You must set this indicator if the Post Balance indicator is set in the settlement parameters.

German tenancy law:
According to a decision of the German Federal Supreme Court (BGH WM 2003, 216), it is mandatory to post using the planned principle (= indicator is set) if the settlement has not yet reached maturity (the settlement takes place up to one year after the end of the settlement period) and outstanding advance payment amounts were already claimed in court.
Since the setting applies to the entire settlement run (and not to each separate contract), you should make the settlement before the settlement maturity is reached, and then always use the planned principle.

In any case, if you use the planned principle, you should include open receivables, which arose before the settlement, in correspondence.

Example

The result of the settlement is as follows:

The expense for operating costs for this real estate contract is 722 EUR.
This receivable is posted to the "Receivables from Settlement" account (4) regardless of the setting of this indicator.
In this example, the tenant paid the first receivable of 500 EUR, but not the second of 100 EUR.
