Definition

Activation of the Commercial Project Inception (CPI) functionality, which is used in the business scenario SAP Professional Services.

If CPI is activated, a project can be generated upon saving the sales document just as in the classic assembly approach between the application areas Sales and Distribution (SD) and Project System (PS). You can synchronize the creation of contracts sales documents (quote, contract or sales order) and projects.

When you create a sales document, you can create a project using standard WBS elements, but without dealing with networks that are not necessary in the given business process.

Dependencies

This functionality is only available if the Commercial Project Inception and Lean Staffing (PRS_ERP_CPILS_1) business function has been activated and if the project inception functionality has been subsequently switched on in Customizing for SD with this indicator.

  • In the Configure Commercial Project Inception IMG activity of the Project System, appropriate standard WBS elements are defined for the given combinations of material, sales organization and sales document type.
  • If the sales document contains at least one assembly network (thus classic assembly) the save cycle does not invoke the Commercial Project Inception function, since you cannot use classic assembly and project inception processing at the same time in the same sales document. If you try to combine them, the classic assembly always has priority.

Switching Off

If you switch off this Customizing indicator, the system does not proceed with the project inception function. This means, for example, that:

  • All pending items remain pending without any further influence.
  • Newly created items no longer become pending items.
  • When copied the operative WBS elements are always kept.

Use

The Commercial Project Inception functionality contains the following checks:

Standard WBS Elements

  • When saving the sales document, the appropriate standard WBS elements from PS configuration are assigned to all newly created items.
    This does not apply to new items that have already been assigned an operative WBS element.
  • Only sales items with a standard WBS element but without an operative WBS element are involved in project inception when the sales document is saved. These are known as pending items.
    Once the relevant operative WBS element is determined or generated in PS and is attached to the sales item, the item is no longer pending.
  • PS can only cover one standard project (with its standard WBS elements) per save cycle. This means that if the set of pending items consists of standard WBS elements that refer to more than one standard project, subsequent save cycles are necessary for the sales document until no more pending items apply.
    These save cycles persist until the pending items are in the database with an assignment to a standard WBS element but without an assignment to an operative WBS element. Hence, this is neither an error nor an inconsistency.
  • If you copy a sales document and the source sales item has both a standard and an operative WBS element assigned to it, the Customizing settings determine what happens in the target sales item. You define control data for the document flow of sales documents in the IMG activity Maintain Copy Control for Sales Documents -> Copying Control: Sales Document to Sales Document. The Positive/negative quantity value controls the copying process as follows:
    • "+" or "-"
      The operative WBS element from the source item remains unchanged in the target item.
    • "0"
      The operative WBS element is not assigned in the target sales item. This pending item is handled during the next save cycle as described above.

Operative WBS Elements

  • As soon as an operative WBS element for the sales item is entered, changed or deleted, any standard WBS elements are deleted and the sales item can no longer be a pending item.
  • As soon as a sales item has an operative WBS element assigned, which was caused by Configure Commercial Project Inception IMG activity of the Project System (hence the standard WBS element field is also populated), the Material Number field can no longer be changed. However, the input behavior of the Operative WBS element field of the sales item is not affected by the project inception function.
  • As soon as a sales item has an operative WBS element assigned, which was caused by Configure Commercial Project Inception IMG activity of the Project System (hence the standard WBS element field is also populated), the corresponding sales document type can no longer be changed.
