Definition
You use the capacity option to specify the number of attendees that may be booked for a business event or the minimum number of attendees for which it is worth holding an event. The capacity is determined from the value stored for the business event and the capacity defined for resources of the type 'Room'.
The optimum capacity is the value that specifies the number of attendees best suited to the size of the room.
Use
The optimum number of attendees defined for a business event is the number of attendees ideally suited to achieving the objectives of the event.
The optimum capacity you define for a business event plays a role in the following:
- Price determination at the level of the business event type: The optimum capacity is used as the basis for calculating the price of attendance.
- Determining booking priority: The optimum capacity is used to determine the values for normal, essential, and waiting list bookings. Bookings are automatically assigned normal priority until the optimum capacity of the business event has been reached. Once the optimum number of attendees has been booked, only bookings with essential priority are accepted up to maximum capacity.
- Selecting a room: The resources available are offered for selection on the basis of their suitability valuation. The highest valuation is accorded to the room whose optimum capacity lies closest to that defined for the business event.
Procedure
Enter an optimum capacity for the business event type. This value is valid for all events of this type. The value you enter here is proposed as default for the business event.
If you want to override this value for one or more specific business events, you simply overwrite the default displayed.
Enter an optimum capacity for the resource type 'Room' that is valid for all resources of this type.
If you want to override this value for one or more specific rooms, you simply overwrite the default displayed.
Dependencies
You can maintain capacity values (infotype 1042) in several places:
- For the business event type
- For the business event date
- For the resource type 'Room'
- For resources of the type 'Room'
The system always compares the capacity defined for the business event (or event type) with the capacity of the resource 'Room' (or resource type). If no capacity data is stored for the actual resource or event, the system automatically uses the values stored for the event type or resource type.

Use
The value you specify here as optimum capacity is valid for resources of the type 'Room'. The system checks the capacity of the business event or event type against that stored for the room. If no capacity data has been stored for the room, it checks against the capacity stored for the relevant resource type.
Dependencies
The value stored for the resource itself overrides any value stored for the resource type 'Room'. The value stored for the resource type is only used if no capacity has been stored for the room itself.
