Telephone numbers must have a specific form in order for SAPphone to be able to find the corresponding work center for a telephone number. Inbound calls are not, however, always received in this form. Therefore, you have to create rules that are used to convert the numbers into the correct form.
To find the work center, SAPphone requires the telephone numbers in the following form:
- Extension only (if the name of the telephony server is specified)
- Local area code, general prefix and extension (if the server name is not specified).
If more than one rule could be used for an inbound telephone number, the system uses the rule for which the number to be replaced contains the most digits of the telephone number.
Example
Inbound calls are transferred to the SAP System in the following form:
- International calls: 0049 6227/34-....
- National calls 06227/34-....
- Local calls 34-....
The following rules must be created:
With transfer of server name
Numbers to replace New numbers Note

Without transfer of server name:
The prefix of the telephony server has the format: (06227) 34

Requirements
You have to know how your external telephony software transfers telephone numbers to the SAP System. If you use the SAPphone server, the name of the telephony server is also transferred for inbound calls. If you use other external telephony software, you can check whether the server name is transferred or not using the following procedure:
- Initiate a call in your SAP System
- Call SAPphone administration.
- If the call could not be received, choose Utilities --> Assign inbound call.
The data that was transferred to the SAP System is listed in the log.
If the telephone system reports the called number depending on the caller (national, international), these cases must also be taken into account.

Activities
Create rules for all required number conversions. To create a rule, proceed as follows:
- Execute the node Number conversion rules for inbound calls.
- Choose New entries.
- Enter the start of the number to be replaced (for example, 0049 6227/34-), the replacement number, and a comment (for example, international calls).
- Save your entries.
- Choose Back.
