In this IMG activity, you define document types which classify document categories according to distinguishing characteristics and the organizational procedures that result from them. Each document category must be assigned to a document type.
You perform the following steps when defining a document type:
- Define Document Type
- Define Language-Dependent Descriptions
- Define Document Status
- Determine Object Links
- Determine Object Link Text
- Define Language-Dependent Document Status
Clinical documentation is linked to the general SAP Document Management System (DMS). The definition of a document type is an SAP Basis customizing function. You only need to make specific settings for clinical documentation. Since you can only access the documentation for the various steps by choosing a function in the respective DMS screens and this documentation cannot be replaced by a variant for clinical documentation, special tips for all steps are described in this document.
Define Document Types
This section only gives details of points that are either of particular significance to clinical documentation or are not required. For this reason, you should also refer to the DMS documentation. The document type MED ("Med. Document") has been shipped with the standard system to give you an example of a document type.
The Define Copy Template for Original File customizing function is not required for clinical documentation.
- Status Change
You should not set this indicator - the statuses of clinical documents are changed in a separate transaction.
- Assignment of Revision Level
You should not set this indicator - it is not used for clinical documentation.
- Version Assignment
You should set this indicator - this will mean that you will be able to create modifiable versions of released documents for correction purposes.
- Archiving Authorization
You should not set this indicator - you cannot link up to an archiving system in the current release.
- Change Documents
You should not set this indicator - it is not used for clinical documents.
- Alternative Screen
You should not specify an alternative screen - the document data for clinical documents is maintained in a separate transaction.
- Program Exit for Alternative Screen (Document Management)
You should not specify a program exit - the document data for clinical documents is maintained in a separate transaction.
- File Size
This attribute is irrelevant for clinical documents, you should therefore use the (default value 0).
- Class Type and Class
You should not specify either a class type or class - the document data for clinical documents is maintained in a separate transaction.
- Prop. Appl. and Distrib. Appl.
These indicators are irrelevant for clinical documentation.
- Field Selection
Do not enter any values in the Field Selection box - when you create a clinical document, you use a separate transaction to enter data on a detailed screen.
- Define Document Status
This section only gives details of points that are either of particular significance to clinical documentation or are not required. For this reason, you should also refer to the DMS documentation.
- Object Check
This indicator is irrelevant for clinical documentation.
- Complete for Engineering Change Management
This indicator is irrelevant for clinical documentation.
- Release Indicator
A document can only be released if the release indicator has been set for a follow-up status within the status network. This indicator does not specify that a document will be locked for changes. If you want to specify that it should not be possible to make any further changes to a document, the status must have the status type 'S'. The DMS documentation on this indicator is irrelevant for clinical documentation.
- Distribution Lock
This indicator is irrelevant for clinical documentation.
- Content Version
This indicator is irrelevant for clinical documentation.
- Storage Necessary
This indicator is irrelevant for clinical documentation.
- Store
This indicator is irrelevant for clinical documentation.
Determine Object Links
All the document types for clinical documentation must be connected to the object N2MED. The Screen No. is not really relevant. However, as it is a required entry field, you should enter the value 200. No other fields are relevant for clinical documentation.
