In this step, you set up the print control for the shop papers (print lists) to meet the needs of your company.

If you are not familiar with the technical capabilities of the print control, first read the concepts contained in the section Further notes, before performing the steps in "Activities" section.

Requirements

  • You have set up the printer(s) and defined the printer destination(s).
  • You specified whether the shop papers should be printed immediately when the inspection lots are created, (dependent on the sample calculation). You make these predefined settings:
  • To set up the shop papers, you need the ABAP reporting and SAPscript functions.

Standard settings

The standard system allows you to print out the following lists with the help of forms:

  • Sample-drawing instruction (instruction for physical-sample drawing)
  • Physical-sample label
  • Inspection instruction

The predefined table settings, layout sets and print programs are provided for test purposes. In most cases, you will probably have to modify these settings to meet your individual needs.

Recommendation

Before you change the tables, try to print the shop papers to the spool file using the standard settings!

Activities

  1. List Definition
    Clarify the following points:
    • Determine which lists in each list class are used in your company.
    • What these lists are to be called
  2. Spool Parameters
    Determine which print lists (shop papers) should be available for each plant and user.

    For each of these lists, specify the printer (destination) for the lists.
    Refer to the step "Printer determination" below for more information.

    • Whether the spool order will be output immediately
      A setting in the inspection type or physical-sample type determines whether the system will create the spool order automatically within the transaction.
    • Whether the list should remain in the spool file for a specified period of time
  3. Order Types
    Find out whether the print control is the same for certain order types.

    If necessary, you can define reference order types and assign them to all order types that have the same print control settings.
    In normal circumstances, you retain the standard settings.

    Note: If you select an order type in this view and proceed to the subsequent views that relate to the assigned reference order type, the system only displays the entries that apply to the referenced order type. If you want to display entries for several reference order types, in subsequent views, you must first select all the relevant reference order types.

  4. Forms
    For each reference order type, plant, printer (destination) and list, specify:
    • Which form should be used
    • How many sections should be printed on a single page
    • Whether a separate data record should be created for each list in the spool file
    • Whether barcodes should also be printed
    • Whether the print layout is to be displayed on the screen for subsequent printouts
  5. Print Programs
    For each reference order type, list and print variant, specify which program will supply the form with data. The print program must be compatible with the SAPscript form that was assigned to the reference order type.
  6. Transactions
    For each reference order type, plant, MRP controller and transaction, specify:
    • Which lists in a list class should actually be printed
      Note: The system displays all the lists on the detail screen. However, you can only activate lists for each order type, that were assigned in the views for the order type mentioned above. In the standard system:
      - For the order type QM01 only list LG01 (sample-drawing instruction)
      - For the order type QM02 only list LV01 (inspection instruction)
      - For the order type QM03 only list LG02 (physical-sample label)
    • Which general print variants are desired and how many printouts are needed
    • Whether the print indicator in the operation control key should be taken into consideration
      (Note: This indicator is not considered for the print examples contained in the standard system.)
    • Whether the print lists should be created as single lists

      Note: We recommend that you create the print lists as individual lists, otherwise shop papers may be added to old spool requests and may be difficult to find.

      Note: Although the print examples contained in the standard system do not take the MRP controller field into account, it must contain the entry '*'.

      Note: If the system cannot find either a specific transaction or a generic entry in this table, it does not print the shop papers. This occurs, for example, if you create inspection lots by batch jobs and have the system create print lists, since the system does not recognize a transaction. We therefore recommend that you keep the generic entry contained in the standard system.

  7. Printer determination
    For each reference order type, plant, MRP controller and list, specify which output device (destination) should be used.
    • The printer in the work center.
      In this case, the program RQEEAS20 prints the header for the inspection instruction and all the consecutive inspection operations that are to be printed on this printer. This means that if you use a different printer for each work center and define a different work center for each operation, the inspection instructions are printed by operation. If, however, you define the same work center for several consecutive operations, or if you use the same printer in the work centers for these operations, the inspection instructions are grouped together.
    • The printer in the user master.
    • A printer that is dependent on the user, plant and list.
    • A printer that is dependent on order type, plant, MRP controller and list.
  8. Form design and programming
    1. Create samples of all lists used in your company.
    2. Have qualified individuals create the required SAPscript forms and print programs.
    3. Tip: do not use the standard programs to print customer-specific forms; if necessary, copy the programs under another name.
  9. Maintaining and testing the print control
    1. First test the print lists in the standard system by printing them using the standard settings.
    2. Maintain the print control according to the specifications you defined previously.
    3. Test the print control and the printed lists.

Testing notes:

  • You can use program PPCO85EI as a testing aid; it specifies the lists and parameters for a predefined combination of user, order type, plant, MRP controller and transaction.
  • For test purposes, in the settings for the inspection type or physical-sample type, you can define that the system issue detailed error messages if a problem occurs while the system is printing the shop papers
  • In the settings for the inspection type, or physical-sample type, you can specify whether the documents will be printed immediately when the inspection lots are created.

Troubleshooting tips:

  • Check the system installation! Make sure you refer to the step -> Basic Settings -> Set up clients.
  • Are valid forms available? If you copied forms into the current client, you should consider one of the following steps after you implement a new maintenance level, to make sure the forms and print reports are still compatible:
    - delete the copied forms (as a precautionary measure)
    - compare the contents of this client with client 000
  • Have the order types QM01, QM02 and QM03 been maintained (transaction KOT2)?
  • Have you set up the printers specified in the views for the 'Lists' and 'Output device control'(transaction SPAD)?
  • Have you set the indicators for immediate output in the "Lists" view and in the inspection type or physical-sample type?
  • Have you activated the required lists (and only these lists) in the "Transactions" view?
  • Is this list to be printed as an individual list?
  • Do the tables contain the generic entries you may require?

Further notes, Concept information

Since this same print control is also used for production orders, it contains functions and settings that extend beyond the scope of the QM component.
