In this step, you complete the system settings valid for the missing parts check at the time of goods receipts.
With the aid of the missing parts check, the system checks at the time of a goods receipt, other receipt, or transfer posting whether the material posted is a missing part. If so, the system issues a warning message and sends a mail message to the responsible MRP controller in the plant.
Activating the missing parts check
The missing parts check is only carried out if:
- it is active in the plant
- a checking rule is defined for the transaction
- a checking group is defined for the availability check in the material master record (MRP data)
Determining the checking rule
The check is carried out on the basis of checking rules. The checking rule specifies which requirements are to be considered. The missing parts check uses the same checking rule (at transaction level) as the availability check. However, it is also possible to define a separate checking rule at movement type level for the missing parts check.
Controlling the warning message
The warning message issued at the time of the goods receipt can be switched off user-dependently.
Determining the MRP controller
The system sends the missing parts message to the responsible MRP controller if an Office user has been assigned to him/her. If no Office user has been assigend to the MRP controller, the system tries to find the central MRP controller for missing parts in the plant and sends the missing parts message to him/her. If even the central MRP controller for missing parts has no Office user, no mail message can be sent. The user is made aware of this by a warning message which is issued at the time of the goods receipt.
Designing the missing parts message
There are two types of missing parts messages:
- non-summarized missing parts message
The MRP controller receives a mail for each material including a maximum of five MRP elements requiring the material. - summarized missing parts message
The MRP controller receives a mail for each material document and plant. The mail contains the list of missing parts materials but no MRP elements.
The type of missing parts message is controlled at plant level.
To send the missing parts messages, the system uses the output determination function.
Requirements
Before activating the missing parts check, you have to set the output determination for the missing parts check.
- Start the program RM07NCU2 in your client.
This program copies the table parameters necessary for the output determination of missing parts from client 000.
- Check the output type MLFH (goods receipt of missing part). Output(transmission) medium must be 7 (Mail) and partner function DP.
Create a mail text for the output type MLFH.
Example: "Your missing parts have arrived."The missing parts information (e.g. material number) is automatically added to the text when the mail is created.
- Create a condition for the output type MLFH.
The field Missing part must have the value X.
For more information on the output determination function, refer to the chapter Output Determination.
Default Settings
In the standard SAP system, the missing parts check is not active.
Actions
To activate the missing parts check, proceed as follows:
- Activate the missing parts check for the plant and specify whether the MRP controller is to receive a missing parts message for each document and plant (summarized) or for each item (not summarized). To do this, select Missing parts active.
- If you want to use different checking rules for the missing parts check than for the availability check, you can choose Checking rule and Define checking rule to define a new checking rule.
If you use the same checking rules as for the availability check, you need not process these objects. - Select Transaction code to check the central checking rule for all transactions for which the system is to perform a missing parts check.
Only assign a new checking rule to the transactions if no checking rule exists. An already existing checking rule is used for the availability check.
Please note that the missing parts check is only active if a checking rule has been assigned to the transaction.
- If you want to use checking rules other than the central checking rule for certain movement types, choose Movement type and assign a checking rule to the movement types. If no checking rule has been defined for a movement type, the system uses the central checking rule at transaction level. If you want to deactivate the missing parts check for a particular movement type, enter **.
- Select MRP controller to define a central MRP controller for missing parts. Then this MRP controller will receive the missing parts message if the responsible MRP controller has no Office user.
- Select Mail user to allocate an office user to the individual MRP controllers. If only the central MRP controller for missing parts is to receive mail messages, only allocate an Office user to this MRP controller.
Note:
It is not possible to enter a distribution list as Office user.
Additional information
It is possible to set the system messages M7 133 and M7 134 so that the person entering the goods receipt will not receive a warning message informing him/her of a missing parts situation.
For more inforormation, refer to the step titled Define System Message Attributes.
