In this step, you can display forms, create new ones, and copy or change existing ones.
To do this, you make settings for the following:
- Header data (for example, author, short text)
- Pages
- Character strings (layout of text blocks)
- Windows (for example, address window)
- Paragraph formats
- Page windows (for example, size of the address window)
- Documentation
You can either copy standard forms or create your own forms.
Standard settings
The original language of the standard forms found in Training and Event Management is English.
You must make structural changes (such as changes to the position of windows, paragraph format and so on) in the original language. You make contextual changes in the language of the document concerned.
Recommendation
You should not change the sample forms that come with the standard SAP R/3 System.
Activities
Copy Standard Forms
- From the main menu of the step "Edit forms", choose Utilities -> Copy from client. Copy the standard form to your local client and save it under another name within the customer name range.
The advantage of this method is that it saves you the trouble of defining the form structure yourself (layout, paragraphs, character strings and so on).
- Modify the form to suit your company-specific requirements. At a minimum, this will mean changing the header (HEADER window), the footer (FOOTER window), the sender in the window (ADDRESS window) and some passages of text or formulations in the text elements of the main window (MAIN).
- When you have made all the required changes, activate the form so that you can use it in the application.
Note
If you want to use the language-dependent output option, you must copy the form with all existing languages.
The form must exist in its original language English. The language-dependent versions of the form must be translated.
You must ensure to guarantee the consistency of the text variables as far as text elements and language-dependent forms are concerned. In other words, text variables used in one text element must exist at least one time in each of the language versions.
For more information on form creation, refer to the chapter "Styles and Forms" in the "Application Help" of the Basis component (BC).
- Set up user-dependent output control
Assign the modified form the relevant notification abbreviations.
User-defined forms
If you do not want to use the simplified method of copying forms, you can create forms yourself.
This involves the following actions:
- Creation of the form layout
- Definition of paragraph formats
- Definition of character formats
- Definition of text elements
- Specify output sequence of user-defined text elements
This action would be required, for example, if data is output in tabular form, which would require definition of multiple text elements in a window of the form (e.g. in the MAIN window of the standard form HR_ALL_FIX).
Edit the step "Specify output sequence of text elements" in this case.
Further notes
Please note when you use automatic correspondence that only certain notification abbreviations are available for the actions in Training and Event Management.
