In this IMG activity, you define how the following statistics are structured:

  • Service statistics according to the Federal Regulation for Hospitals (BPflV L2 Germany)
  • Statistics for standard billing days according to the Federal Regulation for Hospitals (BPflV K5.2 Germany)
  • General service statistics

Requirements

You need to have defined institutions and created service catalogs and services for

  • The service statistics
  • Determining standard billing days, such as
    • private room
    • semi-private room
    • nursing charge without personal items

Activities

  1. Initial screen
    1. Specify the institution for which you want to maintain a statistics structure.
    2. In the Statistics field, enter the key of the statistics structure which you want to create, change, display or delete.
    3. Note that in Germany you have to enter the key L2 for service statistics according to BPflV and K5.2 for standard billing day statistics according to BPflV. You can assign a key of your own for general statistics.
      You can list all of the statistics already defined by calling the value help.
    4. When creating a statistics structure, you can specify an existing statistics structure in the Statistics field in the Template group box.
    5. The system then copies the texts, services and organizational units of the template and proposes them in the new structure.
      Now choose the required function Create, Change, Display or Delete.
  2. Overview Screen

    In the overview screen, you maintain the name and short text for the statistics structure. Note that both texts are assigned client-specifically, in other words changes affect all institutions of a client.

  3. Row Texts

    You define the output rows for the statistics in the Text of Row field. The output rows comprise up to 40 characters. There is, however, often a need for longer related texts which exceed this 40 character limit.

  4. To maintain further text rows for an output row choose the function Row Text.

  1. In the resulting screen, you can enter any number of text rows.
  2. When you return to the overview screen, a green arrow with three dots adjacent to the Text of Row field indicates that an output row comprises several text rows.

You can specify how each text row is to be output by making an entry in the P field. You can list the possible input values by calling the value help for this field.

Note that the row texts for statistics are assigned client-specifically, in other words changes affect all institutions of a client.

  1. Services

    For each output row, you now define the services whose quantities and values are to be calculated and output. If you have specified several text rows for an output row, enter the services at the level of the first text row. The evaluation programs display the values of the corresponding services at the level of the last text row.

    1. For totals rows, you have to repeat all services that are to be summarized in this row.
    2. If you want to output the row Other in K5.2 statistics, for this row you have to specify all the service codes which can occur for nursing services in your healthcare facility.
    3. Specify the service code with the service catalog in the columns SC, Svce From and Service To. Whether you only maintain the Svce From column or the Service To column also depends on the entry in field OP (if you have entered BT, you have to fill both fields. With any other entry, you need only fill Svce From). You can list the possible input values by calling the value help. In the S field, specify whether the entered services are included in or excluded from a selection.
    4. In a similar way as for the row texts, you can also enter several service rows for an output row here. To do this, choose the function Services. Note that when several service rows exist for an output row, you always have to specify I as the selection indicator, otherwise absurd selections would occur. When you return to the overview screen, a green arrow with three dots after the S field indicates that several service rows are maintained for an output row.
    5. Note that the services of statistics are assigned institution-specifically, in other words changes affect only the institution you specified on the initial screen.
  2. Organizational Units
    1. For each service row you can specify whether only those services that were requested by a particular organizational unit are to be taken into account. By choosing the function Services you branch to the Services of a Row screen where you can enter these organizational units. If you have specified several service rows for an output row, enter the organizational units at the level of the first service row.
    2. Enter the organizational unit in the columns OU From and OU To. Whether you maintain only the OU From column or the OU To column as well depends on the entry in the OP field (if you have specified BT, you have to fill both fields. For all other entries, you need only fill OU from). You can list the possible input values by calling the value help. In the S field, specify whether the entered organizational units are included in or excluded from a selection.
    3. You can enter several rows with organizational units for each service row. To do this, choose the function Organizational Units. Note that when several rows with organizational units exist for a service row, you always have to specify I as the selection indicator, otherwise absurd selections would occur. When you return to the overview screen, a green arrow with three dots after the S field indicates that several rows with organizational units are maintained for a service row.
    4. Note that the organizational units of statistics are assigned institution-specifically, in other words changes affect only the institution you specified on the initial screen.

Tips

You can check how your statistics structure looks by choosing Test. Note that when you execute K5.2 statistics (Germany) in production mode, the system outputs the following additional rows:

  • A row for Periods Without Services, if such records exist
  • The rows for the discounts, for example chief physician treatment, external physician treatment, that are represented using case classifications rather than using services (for more information about this, refer to the section entitled Define Valuation Factors for Case Classification).
  • The totals rows you do not need to define in the structure for K5.2 statistics

In the detail screens for row texts, services and organizational units you can move or copy entries by choosing Cut, Copy and Paste.

Example:

You have defined two output rows in your statistics structure for which the same services are to be taken into account, however from different requesting organizational units (laporoscopy for internal medicine and for obstetrics).

  1. For the first output row for laporoscopy, choose Services
  2. Enter the service code(s) for laporoscopy.
  3. Select the entries.
  4. Choose Copy.
  5. The system copies the service codes into the clipboard. Note that the function Cut also deletes the selected entries.
  6. Return to the overview screen.
  7. Choose Services for the second laporoscopy entry.
  8. Choose Paste.
  9. The system pastes the service code from the clipboard into the service rows.
  10. Now define the requesting organizational units for both output rows.

Further information

Before you can create statistics, you have to make settings for valuating the quantities with charge factor values.
