Use
In the standard system, sample templates are delivered that you can use as templates for your report templates. In this IMG activity, you import sample templates into your system. You can then change the sample templates according to your requirements.
Note:
All sample templates are supplied with the watermark EXAMPLE, as they are chiefly for demonstration purposes. The sample templates only represent a possible combination of data fields that can be used to test the generation of the following report categories: Standard Operating Procedure, Material Safety Data Sheet, and Tremcard. The data fields listed in these reports cannot be regarded as complete or correct with regard to underlying legal regulations. They are simply intended to serve as initial support for you to construct your own specific report templates.
Standard settings
The following sample report templates are delivered in the standard system:

Requirements
- You have the current EH&S version of the Windows Wordprocessor Integration (WWI) installed on the workstation from which you want to import the sample templates.
For more information about WWI installation, see the WWI Installation section in the Implementation Guide (IMG) for Basic Data and Tools.
- You have carried out symbol generation from the EH&S menu under Basic Data and Tools -> Tools -> Match Up Master Data.

Activities
- Transferring files to the application server
- In the EH&S menu, choose Basic Data and Tools -> Tools -> Data Transfer -> Upload File.
- In the Source file on front end field, enter the path and name of the file on your workstation to be transferred.
- Example: C:\WWI\LAYOUT\EXPL_SDS.DAT
- In the Target file on application server field, enter the path and name of the file on the application server. The path is proposed by the SAP system. Complete the correct file name.
- Example: /USR/SAP/SH1/SYS/GLOBAL/EXPL_SDS.DAT
- In the Transfer format for data field, enter the following values:
- For files with the extension .DAT, enter ASC.
- For files with the extension .DOC, enter BIN.
- Choose @48@ with the quick info text Upload.
- The file is transferred.
- Repeat these steps for all the named files.
- Importing templates
- In the EH&S menu, choose Basic Data and Tools -> Tools -> Data Transfer -> Import Report Template.
- In the File with path field, enter the path and file name of the sample template on the application server.
- This is the same path and file name that you entered under Transferring files to the application server in the Target file on application server field (for example, /USR/SAP/SH1/SYS/GLOBAL/EXPL_SDS.DAT).
- Choose Edit -> Check File.
- You will see the data for the sample template to be imported.
- Choose Edit -> Transfer/Start Time.
- The system determines the symbols in the sample template and assigns them to symbols in the target system.
- Check the symbol matchup list. In the Rept sym. (System) column, there should be no symbol names or entries. If this is the case, check whether symbol generation was carried out on your system.
- Choose Edit -> Transfer/Start Time again.
- The sample template is imported.
- After the sample template is imported, Microsoft Word is opened on your workstation and the newly imported template is loaded. The symbols in the sample template are then automatically matched up with the existing symbols in your system. This process may take some time.
- After the symbol matchup has been completed, you can also adjust the sample template manually if necessary. Carry out a check of the template in Microsoft Word by choosing WWI -> Check Template.
- You can now access the sample templates using the report template dialogs.
- Repeat these steps for all other sample templates.
- Importing the EH&S sample phrase library
- In Customizing for Basic Data and Tools under Specify Phrase Libraries and Phrase Groups, check whether the EHSXP phrase library exists.
- In the EH&S menu, choose Basic Data and Tools -> Tools -> Data Transfer -> Import Phrases.
- In the File with path field, enter the path and file name of the import file on the application server.
- This is the same path that you entered under Transferring data to the application server in the Target file on the application server field when uploading file. Complete the file name EHSEXPHR.DAT.
- Choose Edit -> Check File.
- The SAP system displays the data for the phrase library to be imported and the number of phrases to be imported.
- Choose Edit -> Transfer/Start Time and enter Immediate as the start time.
- Save the data.
- The sample phrases are now imported in the background.
- Choose Goto -> Direct Input to check the import.
- After the import has been completed, check the sample phrases using phrase management.
- Editing report templates
After having been imported successfully, you can edit the sample templates further and release them. For more information, see SAP Library for the Report Definition (EHS-BD-RDF) component under Document Template Layout Editing.
