Use

You can define the following user settings for the info system:

  • Master data
  • Planning period
  • Reporting period
  • Report currency
  • Other entries such as the version and actual valuation

You can define the master data, planning-, and reporting periods either as user-specific or as a default setting. The default settings are used for all users for whom settings are not defined.

You define the default values in the selection screens for the reports.

These settings are only valid for reports for the relevant component in Controlling or Cost Element Accounting.

Default values are possible for the following parameters in the master data:

  • Controlling area
  • Report objects such as groups, individual values or ranges for cost centers, statistical key figures, activity types, and cost elements.

You can define the following for the planning period :

  • Fiscal year

    The fiscal year can be the current fiscal year, the previous year or another fiscal year that you specified.

    If you choose No parameter, the system transfers the user parameters.

    Note

    You maintain user parameters as follows:

    Choose System -> User Parameters -> Own Data, and the Parameter tab page.

  • Period

    The period can be the current period, the previous period or another period range that you specified.

    You can also define the range from period 1 up to the current period or the previous period. For reports that you do not want to run for a period range, the current or previous period is set.

    If you choose No parameter, the system transfers the user parameters.

You can define the reporting period as follows:

  • Fiscal year

    The fiscal year can be the current fiscal year, the previous fiscal year or a range that you have specified.

    If you choose No parameter, the system transfers the user parameters.

  • Period

    The period can be the current period, the previous period or another period range that you specified.

    You can also define the range from period 1 up to the current period or the previous period. For reports that you do not want to run for a period range, the current or previous period is set.

    If you choose No parameter, the system transfers the user-specific parameters.

You can define the reporting currency as user-specific or as a default setting. The default setting applies for all users for whom settings are not specified.

You use the report currency/> to define the currency in which the system displays report painter reports, line item reports or planning overviews, and how currency conversion takes place.

The settings are valid in Controlling and Cost Element Accounting for all planning overviews and report painter reports that use the measures costs, secondary costs, actual costs , variable costs, and for which the currency is not specified.

For line item reports in Controlling, the settings are valid for the columns: Costs in report currency, Variable costs in report currency and Fixed costs in report currency.

The settings are valid, irresepective of the component in which you defined the report currency.

Reports can be issued in the following currencies:

  • In Cost Element Accounting:
    • Company code currency
    • Group currency
    • Controlling area currency
    • A specified target currency
  • In Controlling components:
    • Controlling area currency
    • Object currency
    • Transaction currency
    • A specified target currency

In summary reports that use the report currency, if you call up an additional report on the report-report interface, the system displays both reports in the same currency.

If you entered a target currency, you must enter the reference currency for the currency conversion. In Cost Element Accounting, the reference currency is the company code currency, the group currency or the controlling area currency. In the Controlling components, the reference currency can be the controlling area currency, the object currency or the transaction currency.

Otherwise, enter the following:

  • Key date for conversion
    • Conversion at each current exchange rate date
    • Conversion at fixed date
    • Period-specific conversion on last day of each period
  • The desired exchange rate type

    You can use the exchange rate type to distinguish between the buying-, selling- and average rates

For example, if you want to issue reports in EURO for all users, you must do so under Define default settings.

  • Versions

    You set the planning version in which you want to create reports.

  • Actual evaluation

    You set either legal-, group- or profit center evaluation.

In the Implementation Guide (IMG) you must edit the currencies section under Global Settings.

Activities

Making default settings

  1. If you want to create or change default settings, you do not need to enter a user. Choose Execute.
  2. Choose Change default.
  3. Make your entries and choose Copy to leave the dialog box.
  4. Save your entries.

Making settings for one, several, or all users

  1. If you want to create or change settings for one or several users, enter the user(s).

    To enter several users, choose Multiple selection.

    Choose Multiple selection to see a list of all users.

    Select the users that you want to edit and choose Copy to leave the dialog box.

    You can edit the settings of all selected users.

    If you want to edit the settings for all users for whom user-specific settings are defined, enter "*". The system displays a list of all users for whom user-specific settings exist.

  2. Choose Execute.
  3. If you selected users for which settings are not yet available, you can copy the default settings. To do so, choose "Yes".

    If you want to re-enter missing settings, choose "No".

  4. To create new user settings, proceed as follows:
    • You want to re-enter the settings for a user.
    • Choose Create, and enter the user name.
    • You want to copy user settings from the settings for an existing user.
    • Select the existing user, choose Copy, and enter the name of the new user.
    • You want to copy a user's settings from the default settings.
    • Choose Copy from Default and enter the user name.
  5. To change user settings, proceed as follows:
    • You want to change a user's settings.
    • Double-click on the lines affected.
    • You want to edit the settings of several users.
    • Select the lines affected, and double-click on a line. You can display the serttings for the selected users using Previous User or Next User in the dialog box.
    • You want to make the same settings for several users.
    • Select the affected users.
      For example, you can use Select All to select all users.
      Position the cursor on a line that you want to change and choose Multiple Replace.
    • You want to change a specific setting for all users that meet specific filter criteria.
    • For example, you changed a cost element group at the fiscal year end and want to define the new group as a selection criterion for all users who previously used the old group.
      Click on the header to select the column for which the filter is to be used.
      Choose "Set Filter".
      Enter the filter criteria and choose Copy. The system only displays users who meet the filter criteria.
      Choose Select All.
      Position the cursor on a line that you want to change and choose Multiple Replace.
  6. Enter the desired settings and choose Copy to leave the dialog box.
  7. Save your entries.

Notes on transport

To transport default settings, choose Default Setting -> Transport.

To transport settings for individual users, select the relevant user and choose User setting -> Transport.
