Use

This field can contain the following entries:

  • Name
    If the document was sent to one recipient.
  • Number
    If the document was sent to several recipients. You can display the individual recipients via Goto -> Recipient list.
  • Identification code (e.g. system ID or X40) and name
    If the document was sent without accessing the address management (sending externally directly).
  • Internet address

You can display the address of the recipient (exception: the document was sent to several recipients) with a double-click.

If you are in the "Create Substitute" window, enter the name of the substitute in this field. You can enter an address name, a SAPoffice name, or an SAP name. For SAPoffice names and SAP names, an appropriate indicator must be entered in the adjacent field.

If you are in the "Change Substitute" window, the name of the substitute is displayed.

There are various ways in which you can enter address names:

  • Enter the complete name or only the first name or surname
    • george
      All users are listed whose first name is "George". Users with the surname "George" are also listed.
    • miller
      All users called "Miller" are listed.

Note

If the first name or surname consists of several parts which are not connected by a hyphen, you must connect the parts with *. Example: You want to display all users with the surname "Van Dyke". Enter van*dyke.

  • Generic entry (with *):
    • a* b*
      All users are listed whose first name starts with A and surname with B, or whose surname starts with A and first name with B.
    • jon*
      All users are listed whose first name or surname starts with "Jon".
  • Enter the company name
    Please observe the following conventions:
    If you only enter the company name or the company name and first name or surname, two commas must be entered before the company name.
    If you enter the first name, surname, and company name, you do not need to enter any commas.
    The company name must always come last.

      All users are listed who are Testco employees.

Use

In this field you can define the following:

  • When you create a client folder, you can specify which users are to be assigned a different access authorization than the folder access authorization.
  • When you create a group folder, you can specify which users are to be grouped together.

You can enter address names, SAPoffice user names, SAP names, private or shared distribution lists. Except for address names, the entries must be assigned an appropriate indicator in the adjacent field.

Note

If you enter distribution lists containing addresses which do not exist in the address management or are available in the address management as external addresses, these entries are not transferred. If you enter a private distribution list, it is expanded and the names displayed.

  • Creating a client folder
    You have created a client folder with folder access authorization 1 (display folder and documents). The users in the shared distribution list PERSONAL should also be able to change the documents in the folder. Enter personal and c (indicator for shared distribution lists) in the adjacent field. Enter 2 as the access authorization.
  • Creating a group folder
    You have created a group folder with folder access authorization 2 (display folder and documents and distribution lists in the folder and change documents in the folder). You assign the users Henry Strong, Barbara Heinz, Anne Miller, and Betty Green to the group folder. Betty Green should also be able to change the folder and create shared distribution lists . Enter the names of the users. For Betty Green, enter access authorization 3.

Note:
When you create a shared distribution list, you cannot enter a private distribution list.

Use

The recipient of the short message is entered in this field. You can enter address names, private and shared distribution lists, as well as SAPoffice names and SAP names. With the exception of address names, an indicator for the recipient type must be specified in the adjacent field.
You can search for SAPoffice users and distribution lists. To do this, press either F4(Possible entries) or the Possible entries pushbutton.
If you select more than one recipient, the number of recipients selected is specified. You can display the individual recipients via Document -> Extended send.
