Definition

The format defines how the name is displayed or printed. The name format may differ in various programs (e.g. alphabetical, with or w/o title, name supplements). You can specify which formats should be used in the programs. You assign the formats and programs to be used to the HR Name Format table (T522F). This table is read from the RP-SET-NAME-FORMAT function module. The name formats are then used in the relevant programs.

The standard SAP system already contains defined name formats, such as 00, 01 and 20.

You can also enter a specific name format in the Special format field of the Personal Data (0002) infotype.

The following formats have fixed definitions:

The format 00 is used to edit a sortable name stored in Personnel Administration (infotype/field: P0001-SNAME) in connection with conversion '99' (sorting according to the Duden dictionary).

  • The format 01 is used to edit names stored in the master data according to national rules (infotype/field: P0001-ENAME). It can be used in the screen header and in HR standard reports.

  • The format 20 is used in applicant correspondence. However, you can define this name format to suit your requirements. You can define the formatted name text variable (PTXT1-ENAME) with the name format.
