Definition

The Staff identifier is a unique number allocated to a staff member when they are first entered onto the staff return and stays with them for the whole of their academic career.

The staff ID has the following structure:

First 2 digits: Year of entry into institution (last 2 digits of calendar year).

Next 4 digits: Institution identifier from HESA record PLUS 1000

Next 6 digits: 6 digit reference number internally allocated by institution.

Last digit: Check digit.

Example

9511411234564 is a valid staff ID.

Note

When the staff ID is entered on infotye HESA Master Data (0614) it is possible to generate a new and unique ID. The ID will be generated for the year the begin date of the record falls in. If you want the ID to be generated for another year, enter the year into the field in the two or four digit format.

Example

If you enter 99 or 1999 an ID for 1999 will be generated.

You always have to enter "2000" for the year 2000, since "00" will be interpreted as a blank field.

Additional Note

Old USR staff Ids are accepted by the system; the format of USR is 0000xxxxxxxxx (9 x's) where x is a digit
