Documentation
Definition
Legal and organizational retention requirements are mapped with the Information Retention Manager (IRM) policies. The various rules are often based on the same regulatory requirements, so that the same combination of data (for example, retention times) must often be maintained for the results of the rules.
You can define these often used combinations as a rule group (transaction IRM_CUST_CSS). This rule group is then valid for all policies that belong to the same combination of object category and policy category. However, you can only use a rule group in the policies of an ILM object if the values defined in the rule groups are compatible with the settings in the ILM object.
Use
In policies, the rule group is offered as the first result field. You use the F4 help to select one of the rule groups available for this context. The result field values defined for this rule group are automatically applied to the rule.
You cannot change the result fields that were defined using a rule group. To change the values in these types of fields, you need to remove or change the rule group for the corresponding rule.
Dependencies
Example
The retention period for tax-relevant date is 10 years in Germany, starting at the end of the fiscal year in which the invoice was received.
You could also map this procedure using the following rule group:
Rule Group: TAX_DE
Description: Tax: All German company codes
Minimum retention duration 10
Time unit for retention duration: Year
Time reference: Invoice date
Time offset: End of fiscal year
You can use the rule group defined in this way for all corresponding rules, for example, those that refer to German company codes.
