Definition

The ODN prefix is an optional alphanumerical string preceeding the sequential number in an Official Document Number (ODN) number range interval.

This prefix allows to reuse the sequential numbers of an ODN number range interval.

Use

Official Document Numbers are used to identify uniquely certain business documents such as invoices and to guarantee a gapless numbering of these documents.

In Portugal, Official Document Numbers consisting of sequential numbers without a prefix might have gaps in the SAF-T file delivered per company code and fiscal year.

Therefore, using an ODN prefix is recommended. This ODN prefix depends on the company code, the fiscal year or other parameters.

The role of the prefix is to allow reusing sequential numbers in ODN number range intervals defined in Define ODN and SAF-T Invoice Number Structure customizing activity. Every new entry in this customizing activity determines a new prefix.

To create an Official Document Number prefix, you maintain it in the Define ODN and SAF-T Invoice Number Structure customizing activity. If no value is specified, no ODN prefix is used to create the Official Document Number.

Dependencies

The length of the prefix and the length of the sequential number in your number range interval must not exceed 16 digits in total.

If the total length exceeds 16 digits, the system dumps when posting a document by trying to create an Official Document Number in event 1192.

If you want to keep the length of your ODN longer than 16 digits, you need to create your own coding.

Example

You use number range object 'FKK_ED12SY'.

This number range object consists of a 12 digit sequential number: 123456789012

You have maximum 4 digits left for a prefix: you select AB

As a result, the official document number created is AB123456789012.
