Use
You are always able to differentiate whether notes have a private or a public status. You must specify this status when you create a note.
- Private Notes
Private notes can only be read and changed by the person who created them. No other clerks can access them. The person who created the note always has the option of making a private note into a public note, thus enabling other users to access the note. If a public note has been saved, it is no longer possible to make it into a private note at a later date.
- Public Notes
These notes are visible to all users involved in claims processing. There are two ways of processing public notes: a pessimistic and an optimistic processing type. This is defined in IMG activity Set Permitted Processing Type with Public Notes and determined separately for each insurance line.
- Optimistic processing type
- Every user may change all attributes of the corresponding note. Furthermore, every user is authorized to delete these notes.
- Pessimistic processing type
- The person who creates the note defines the note attributes. As long as the creator has only temporarily saved the note, he/she is still able to change the note, as with a private note. Once the note has been finally saved, it is no longer possible to change the attributes. From this point, the note text can only be extended. The note text that has already been captured is read-only, and text can only be added to it. When you save, a log is generated in the note text, providing information on who extended the text and when.
