Definition

Number which identifies the version of a document.

Use

A new version is assigned after the original files have been edited in the following processing situations:

• The new processing status varies from the original in a certain way (for example, text change sin a text file).
• You want the original processing status to remain the same (for example, documentation of project progress).

Whether the existence of a document is checked or not depends on the version:

• Special character *
• If you use this character, all versions of the document are reserved for the change number. No object check takes place.
• As soon as you create a version of the document or change the document without reference to a change number, a dialog box appears with information regarding reserving this version for this change number.
• If you enter this change number in the document, the special character "*" is replaced by the appropriate version in the change master record.
• Specific version (for example: 02)
• The version of the document is reserved for the change number. An object check takes place.
• As soon as you edit the version (for example: 02), a dialog box appears with information regarding reserving this version for this change number. A document can be reserved for several change numbers. If a document is reserved for one or more of these change numbers, then you can still only enter one of these change numbers in the document.

Procedure

The following two special characters are not supported in the key identifying a document version: "," and "&".
The special character "*" has a specific meaning.

When you Create a document:

• If you enter "*", the system automatically creates the next version up according to the version increment defined.
• If automatic version assignment is defined for the document type, you see a message and the system sets the special character * at the beginning of the field.
  Confirm the message.

When you Change or Display a document:

• You can enter the version number directly.
• To select the version from a list of existing versions, either choose Environment -> Versions or enter the special character * in the Document version field.
  You see a list of all the versions of the document.
• Place the cursor on the line containing the document version you want to process and choose function Choose.
• The system goes to the Basic data screen, where you can process the document version you chose.

Procedure

• You can enter the version number directly.
• To see an overview of existing versions of the document, choose Goto -> Version list or enter * in the Document version field.
  You can select the version you require from this list.
