Definition
If you select this field, the system takes into consideration any car rental rates that your company has negotiated for its employees.
Use
If your company has negotiated rates with a certain provider, the system proceeds as follows depending on how the rates are queried:
- Provider List with Best-Price Vehicle
If you have selected the indicator Provider List with Best-Price Vehicle, an availability query generally displays the public rates only - and not the negotiated rates (see Provider List with Best-Price Vehicle). Once the user selects the best-price vehicle of a provider, the system checks whether the provider has negotiated rates. If multiple rate agreements exist, the user decides which agreement is to be considered. If a rate agreement has been negotiated with the provider, the reservation takes those rates into consideration.
- Vehicle List
When the user selects the vehicle list in the provider list for a given provider, the system checks whether the provider has negotiated rates. If multiple rate agreements exist, the user decides which agreement is to be considered. If a rate agreement has been negotiated with the provider, the system displays the negotiated rate in the vehicle list and the reservation takes that rate into consideration.
Dependencies
The provider list collects its data from the databases of the reservation system. The provider list with best-price vehicle usually only shows the public rates because reservation systems typically store only the public rates. In contrast, the vehicle list queries the data from the provider. Therefore, the vehicle list also displays the negotiated rates if the following conditions are given:
- The system considers negotiated car rental rates if such rates are defined in IMG activity Define Car Rental Rates under Travel Planning -> Rates and Discounts. When querying the vehicle list of a provider and when reserving a vehicle, the system passes the CD (corporate discount) number that is specified in the IMG activity Define Car Rental Rates in the Company ID field. This field determines which rate agreement is to be used.
- The system is able to display negotiated rates in the vehicle list only if the provider meets certain requirements. For example, providers connected to the Amadeus reservation system need to use the connection type "Complete Access Plus."
Once the reservation has been completed, the user can display the final booking data (including the rate type and price) by going to the Planning Manager on the Car Rental tab page and choosing Details -> Reservation Information.
