Use

In this IMG activity you create an entry for your previously created notification type and make the settings for the creation of shift notes.

Requirements

If you want to use standard texts (text modules) when entering shift notes, you must perform the following steps:

  1. Create Text IDs using transaction SE75 in order to be able to group together certain text modules.
  2. Create a standard text (text module) by choosing Tools --> Form Printout --> SAPscript --> Standard Text starting from the SAP Easy Access Menu and entering a text. You must then assign this text a text ID.

Activities

  1. Choose New Entries.

    The New Entries: Details of Added Entries screen appears.

  2. Enter the previously created notification type in the Shift Note Type field and specify which fields and information are to be shown when a shift note is entered:
    • Number of shift note
    • Information on the origin of the shift note
    • Category
    • If you set this indicator, the Category field is shown in the shift note with an input help. You can define the content of the input help using the Catalog Type and Code Group fields.
    • Reference object
    • Here you specify whether the Reference Object field is to be offered during entry. You can then enter shift notes with reference to certain objects (such as production orders and maintenance notifications) on a targeted basis. You define the reference objects to be offered in the input help in the shift note in the Reference Objects area.
    • Long text
    • This indicator must be set in order for a long text to be entered in the shift note.
    • Specify whether changes to the long text are to be logged by setting the Track Changes indicator.
    • In the Number of Characters field, you can limit a long text that is to be entered to a certain number of characters. If you do not specify a value, the user can enter texts of unrestricted length.
    • Text ID
    • Here you can specify a text ID. You can then enter one or more text modules for the text ID in the system, which you can then use in the shift note to minimize the entry effort.
      However, these text modules are offered for selection in the shift note only if you enter the shift note without a reference object. If you enter the shift notes with reference to a reference object and want to use text modules in the process, you must specify a separate text ID for each reference object. The system then proposes the text modules belonging to the text ID you specified for the relevant reference object in the shift note.
    • Text name
    • You can specify the name of a standard text if the system is always to propose exactly this text as the long text when shift notes are entered.
    • Function key Display Send E-Mail
    • You use this indicator to specify that the function key @J1@ is to be shown in the processing transactions for the shift note.
    • PDF form
    • In this field you enter COCF_SN_PDF as PDF form. This PDF form is used for the shift note if you export the latter as a PDF. You can adjust this form to suit your requirements using transaction SFP by copying it and adjusting it accordingly.
  3. In the Usage area, you specify whether the shift note type is to be used as an independent shift note or as part of a notification.
  4. In the Reference Objects area, you assign the reference objects for the shift note type.

    You can assign a separate standard text to each reference object. This text is then proposed by the system when a shift note for this reference object is entered.
