Use

In this IMG activity, you create an entry for your previously created notification type. This shift not type forms the basis for entering the shift notes and determines their appearance. Using the shift note type, you can make all the settings for the creation of shift notes.

Requirements

  • If you want to work with standard texts (text modules) when entering the shift notes, you must previously perform the following steps:
    1. Using transaction SE75, create text IDs for the object TEXT in order to be able to group together certain text modules.
    2. Create a standard text (text module) by choosing Tools --> Form Printout --> SAPscript--> Standard Text from the SAP Easy Access Menu and entering a text. You must assign this text a Text ID.
  • If you want to show the Category area in the shift note, you must check the catalog type and the code group in the IMG activity Maintain Catalogs.
  • If you want to create shift notes via RFC modules, you must perform the IMG activity Catalogs and Catalog Profiles for Notification Type.

Standard settings

Activities

  1. Choose New Entries.

    The New Entries: Details of Added Entries screen appears.

  2. Enter the previously created notification type in the Shift Note Type field and specify which fields and information are to be shown when a shift note is entered.

    Display Areas in the Shift Note:

    • Number of shift note
    • Details on the origin of the shift note
    • Event
    • In this area, you make the settings for entering the timespot or time period of the event that is to be reported.
    • Category
    • If you set this indictor, the Category field is shown in the shift note with input help. You can specify the content of the input help with the aid of the Catalog Type and Code Group fields.
    • Reference object
    • Here you specify whether the Reference Object field is to be offered during the entry process. You can then enter shift notes with reference to certain objects such as production orders, maintenance requests etc. on a targeted basis. You specify the reference objects to be offered in the input help in the shift note in the Reference Objects area.
    • Long text
    • This indicator must be set in order for you to be able to enter a long text in the shift note.
    • Specify whether changes in the long text are to be logged by setting the Track Changes indicator.
    • In the Number of Characters field, you can limit the long text to be entered to a certain number of characters. If you do not specify a value, the user can enter texts of unlimited length.
    • Text ID
    • Here you can specify a text ID. Under this text ID, you can create one or more text modules in the system, which you can then use in the shift note to minimize the entry effort.
      However, these text modules are only offered for selection in the shift note if you are entering the latter without a reference object. If you are entering it with reference to a certain object and still want to use text modules, in this case you must specify a separate text ID for each reference object. In the shift note, the system will then suggest the text modules that belong to the text ID you have specified for the relevant reference object.
    • Text name
    • You can enter the name of a standard text if the system is to suggest precisely this text as the long text during the entry of shift notes.
    • Attachments
    • This indicator must be set in order for the system to show the Attachments area in the shift note. In addition, you must specify the document type to be used for the shift note, as well as the storage category. If you remove attachments to a shift note, you can specify whether they are then also to be physically deleted.

      Display Pushbuttons

    • Display 'Send E-Mail' function key
    • With this indicator, you specify that the function key @J1@ is to be shown in the processing transactions for the shift note.
    • PDF form
    • In this field, you enter COCF_SN_PDF as the PDF form. This form is used for the shift note if you export the latter as a PDF. You can adjust this form to suit your requirements using the transaction SFP by copying it and changing it accordingly.
    • Generic object services
    • You use this indicator to specify that generic object services are to be offered in the processing transactions of the shift note.
  3. In the Usage area, you specify whether the shift note type is to be used as an independent shift note or as part of a notification.
  4. In the Reference Objects area, you assign the reference objects for the shift note type.

    You can assign a separate standard text to each reference object. This text is then suggested when a shift note is entered for this reference object.
