Use

In this Customizing activity you define an exclusion list of files that should not be included in the SAP Records Management system.

This file exclusion list is necessary because some editors (like MS Word) create temporary files which are required by the editor, but which have no relevance for the RM system. If they were included in the RM system, this would create lots of unwanted files. The file exclusion list informs the filter criteria of the Enterprise Content Management (ECM) which types of file to be considered as "temporary" files, and therefore excluded from the RM system.

Entries in the file exclusion list have the form of regular expressions. A description of regular expression syntax can be found in Wikipedia, for example.

Example

SAP delivers sample Customizing that covers some common types of Microsoft temporary files. The following are some of the sample entries and their meanings:

  2. Add entries for temporary files from any editor you use for your RM documents.

Further notes

If you find any unwanted documents in your RM system after having worked with them in Windows, you should add an entry for them in the file exclusion list.

The question whether and when temporary files are created may depend on various factors such as (version of) operating system, (version of) editor applications, and system settings. Therefore, it may well happen that such files are created when one user is working with a document, but not when another user with a different system configuration is processing the same document. SAP recommends you make an entry in the exclusion list even if only a single temporary file shows up in the RM system.
