You use this IMG activity for creating the Role-Based View for a user role in the Records Organizer.
The Role-Based View is displayed in the Records Organizer. SAP recommends that you include the element types and elements that users of the role need to use regularly. This facilitates navigation from the initial screen.
Example: Users with a particular role always create records based on one record model. You want to make this record model available to the users in the role-based view, to save them having to search for it in the element type for record models.
Use
Requirements
You have defined a role to which you want to assign the role-based view.
Standard settings
As a standard setting, the Role-Based View group box in the Records Organizer contains all element types of the current RMS. The hierarchy is organized by type.
Activities
- A role-based view is uniquely identified by the name of a user role, and a Records Management System ID (RMS ID). In the View Generator: Initial Screen, you therefore enter the following:
- The user role to which you want to assign the role-based view
- The underlying RMS of the role-based-view
- (The role-based view can only contain elements and element types that exist in the current RMS).
- Choose a function from the toolbar.
The screen Change View: Name of Role (<Name of RMS>) (<Status>) is displayed.
- To create the role-based view, position the cursor on a node, choose Activities, and select an activity from the list.
Notes:
- To copy the elements from your personal Favorites or History, use the functions Element Link from Favorites/Element Link from History.
- To display all the element types in the current RMS, choose Display All Element Types.
- You can display the elements that you have integrated.
