The following new functions are available for changing currencies in sales order processing. These functions enable employees in sales order processing to respond quickly to any requests from their business partners regarding currencies.

Conversion of document currency for open/partially billed sales docs

You can change the document currency for open sales documents and partially billed orders to euro. In the case of partially billed orders, the currency for dates by which billing was already carried is converted to euro (in the billing plan).

Prerequisites for the currency changeover:
You have made all the settings for the currency changeover in Customizing. In the case of partially billed orders, the currency to be changed must be a currency that can be converted to euro.

Restrictions to the changeover of partially billed orders:

  • Once you have changed the currency in partially billed customer orders to euro, you cannot then rechange the currency (this also applies to the change from the euro to the original currency).
  • If the document to be changed over already contains billing documents, these must first be transferred to Financial Accounting before the document is converted to euro. The system checks this automatically and outputs an appropriate message.
  • Following currency changeover, you can no longer reverse billing documents that were invoiced in the old currency.
  • Small rounding differences can arise (such as in the case of statistical values and credit values).
  • You cannot change over documents that already contain down payments already billed.

Currency changeover

You can change over the document currency of open sales documents and partially invoiced orders in two ways:

A.) Change over the document currency in sales documents

You can change over the currency in the sales document in the Document currency field. This field is found at the top of the Sales tab page.

B.) Global conversion of document currency in open sales documents (for more than one customer and for all materials)

  1. From the sales menu, choose Environment --> Currency conversion --> Sales documents (program SDEWUORD).
  2. Enter the necessary selection criteria.
    • Old/new currencies
      If you enter the original document currency in the Original currency field, the system selects only those documents for currency changeover whose currency is the currency entered here.
      If you do not make an entry in the Original currency field and enter euro in the New currency field, the system selects only those documents whose currency is one of those participating in EMU.

      Note
      This only works if your Customizing settings for the currency changeover have been maintained accordingly. If you have not made any settings in Customizing, documents in all currencies are converted to euro. If this is the case, you should run the program online since you can then check which documents are being selected and ensure that only those documents are converted whose document currency is one participating in currency changeover.
    • Program control
      You can run this program either online or in the background.
      If run online, once you have entered the selection criteria, the system displays a list of open transactions from which you can select the transactions to be changed. If you run this program online, you can stop the program following selection.
  3. If you do not run this program online, the currency for all selected documents is converted, without a list being output.
  4. Choose Program --> Execute

Currency conversion can also be scheduled via the Euro Workbench (see the documentation on the Euro Workbench in the R/3 Library).

Conversion into the customer master currency during sales document processing

When changing a sales document, by choosing Header --> Sales you can convert the document into the currency defined in the customer master. You do this by choosing Refresh. This function key is located next to the Document currency field.

Check during sales document processing

Currencies should be converted into euro at an official fixed rate. The system now runs a check in the sales document and if the currency has been changed manually to euro, it issues an error message.

Redetermining the currency

You need to re-determine the currency if you create a sales document with reference and the reference document is not in the permitted currency.
For example: Your customer has converted their local currency from FFR to euro but reference documents such as inquiries or quotations exist in another currency.
In the copying control for sales documents, you can specify for data transfer from table VBKD (header and item) that the document currency is taken from the customer master.
