In this activity, you define the cancellation rules which specify the points at which a contract may be terminated.

There are two basic options for this. The cancellation rule can:

  • Define a date for the earliest contract cancellation (normal cancellation)
  • Sspecify the period within which cancellation can occur (right of cancellation)

The rule type for defining cancellation rules contains the following criteria:

  • Cancellation date

    The rule for date determination entered here defines the date up to which the contract can be ended (for example, start of contract + 2 weeks). Information on this can be found in the Define dates for determining rules section.

  • Period of notice

    With the cancellation period, the system determines the date up to which the cancellation message must have been received from the customer by the provider of the service (for example, 1 week before the cancellation date).The period of notice is specified as a number with the respective time unit. If no cancellation is received, the contract is automatically extended by the defined cancellation period.

  • Cancellation period

    The system calculates the next possible cancellation date with the cancellation period on the basis of the entered cancellation receipt date and the requested cancellation date in the document. The cancellation period is also the period by which the contract is automatically extended if no cancellation was received. The cancellation period is defined as a number with the respective time unit.

  • Validity period of the rule

    The validity period defines the period in which the rule is valid.

The cancelling party can be entered in the cancellation data in the contract in addition to the cancellation rules defined here.

Examples

  • In the first example, the cancellation rule is configured as follows:
    • Cancellation rule: KUE1
    • Rule for the cancellation date: Rule 02 (start of contract
      + 1 year)
      Period of notice: 2 weeks
      Cancellation period: 1 year

      This cancellation rule only allows the cancellation of a contract 1 year after the start of the contract. The period of notice that is to be kept is 2 weeks. This means that the cancellation must be received by the provider of the service 2 weeks before the cancellation date. If the cancellation date is not observed, the contract is extended by at least 1 year.

  • In the second example, the cancellation rule is configured as follows:
    • Cancellation rule: KUE2
    • Rule for the cancellation date: Rule 02 (start of contract
      + 1 year)
      Period of notice: 1 day
      Cancellation period: 1 month

      A contract with the corresponding rule can only be terminated after one year under observance of a 1 day period of notice. If a cancellation is not made, the cancellation date is repeated every month.

Actions

  1. Enter an alphanumeric key with a maximum of four characters as well as a textual description for the cancellation rule.
  2. Enter a rule for determining the cancellation date.
  3. Specify a period of notice, a cancellation period and a validity period if necessary.
  4. Make sure that the cancellation rule is allocated to the cancellation procedure that you use during contract processing.
