Use
In this IMG activity, you define disposal schedules and their characteristics. Disposal schedules define the retention period of objects in Records and Case Management.
In a schedule, you define the start date of the disposal period, the duration of the storage (disposal period) and the action to be carried out, for example, the export or destruction of objects. An export and import function is available for disposal schedules.
You can assign disposal schedules at the level of classes and folders. The schedule that applies for documents is determined by the disposal document type (see Create Disposal Document Type). Disposal schedules are passed on from parent (superordinate) objects to child (subordinate) objects. Disposal schedules that are passed on can be overwritten by another schedule or using a disposal lock.
You determine and dispose of objects using the program RMPS_PRO_DISPOSAL. The following actions are available for choosing the type of disposal:
- Review
When a disposal period comes to an end, you can use a review to decide where the objects should be located and to assign the objects to a new disposal schedule.
- Export
At the end of the disposal period, the objects are exported to an export destination. Copies of the objects are created in the export destination. The objects remain in Records and Case Management.
- Destruction
In this action, the selected objects are deleted in Records and Case Management. These objects are not exported.
- Transfer
This action moves objects out of Records and Case Management. It combines the actions export and destruction. The objects are exported to the export destination in the first step and deleted in the second step in Records and Case Management.
Changes in Disposal Schedules
It is possible to make changes to disposal schedules. The changes are logged in the change history. This is not important for schedules that have not been used in the productive system. However, if schedules have been used for a large number of objects, the disposal data has to be updated in each object if the disposal schedule is changed. SAP reccommends that you avoid changes in these "active" disposal schedules. You can use the report RMPS_PRO_DISPOSAL_REPORT to check which schedules are active.
Deleting Disposal Schedules
SAP also reccommends that you do not delete active disposal schedules. Use the report RMPS_PRO_DISPOSAL_REPORT to check if a schedule is being used.

Standard settings
Activities
To create a new schedule:
- Select Create a New Disposal Schedule and define the key and description of the schedule.
- Choose a disposal event and define the fields period (year), period (month), and disposal period/retention period.
- Choose the disposal type in the field disposal transaction and save your entry.
