Use
Specific authorization functions are available in Records and Case Management for The National Archives (TNA). The following section gives you an overview of these functions:

To use the functions described here, you must have activated the authorization check TNA for the RMD ID used in the IMG activity Make Basic Settings for RMS ID.
Roles and Authorization Objects
Four preconfigured roles are delivered for The National Archives (TNA). These roles also contain TNA-specific authorization objects PS_RMPSPGE and PS_RMPSPSP.
- TNA System Administrator SAP_PS_RM_PRO_ADMIN
Maintenance of user authorizations and Customizing
- TNA Document Manager SAP_PS_RM_PRO_RECMANAGER
General maintenance authorization of the fileplan, metadata of classes, and the disposal of documents
- TNA Reviewer SAP_PS_RM_PRO_REVIEWER
Maintenance authorization for folder metadata and allocation of disposal schedules
- TNA End User SAP_PS_RM_PRO_USER
Maintenance authorization for documents, restricted maintenance authorization for folder metadata, and assignment of access authorizations

Custodian
The TNA system administrator can restrict the access authorization to folders and the documents contained in it by assigning individual users or user groups as custodian. As custodian, users get a restricted administration function for the documents in which they can grant other access authorizations to individual users or groups.
Authorization Levels and Descriptors
You can control the access authorization of documents according to their confidentiality level (for example, top secret, public) and function category (for example, personnel documents, politics) using the attributes authorization level and descriptor. You define the appropriate authorizations in the authorization object PS_RMPSPSP.
You can define rules that carry out a system-wide change of authorization levels and descriptors in documents. Such a rule is automatically triggered at an expiry date and results in a changed access authorization.
