In this step of the IMG, you define quantity-based conversion factors for pay scale classifications for use when you reclassify or transfer full-time equivalents (FTEs).
This means that, when you reclassify or transfer the FTEs in the budget of a budget structure element, you can use the conversion factors you define here to do so, rather than use the default values stored in the system (value-based reclassification/transfer).
If you define conversion factors in this step, the system will propose the appropriate factor when you create a transfer posting or reclassification rule.
If you do not define any conversion factors in this step, the system will use the corresponding default values to make the reclassification/transfer.
Example
A hospital requires 7 pay-scale-D4 positions (default value $15,000 p.a.) for physicians who want to complete a practicum.
In the overall budget, 1 pay-scale-C4 position (default value $108,000 p.a.) is to be used to finance the 7 D4 positions.
By defining conversion factors defined in this step, you can specify how many D4 positions (i.e. quantity-based, not monetary) can be created from one C4 position (through reclassification or transfer).
If you specify the conversion factor '7 D4 positions' for a C4 position, this will mean that, when the C4 FTE is reclassified, 7 D4 positions can be generated. It will also mean that if a transfer is made from the C4 FTE, it will be possible to transfer 7 D4 FTEs.
If a value-based reclassification or transfer is made on the basis of the default values stored in the system, then 7.2 FTEs could be generated or transferred from the C4 FTE.
This means that a quantity-based transfer can have a different outcome than a value-based transfer.
Requirements
In the IMG for Personnel Management, you must have defined the pay scale details (pay scale type, pay scale area, employee subgroup grouping, and pay scale group) for which you want to define conversion factors.
Activities
To define conversion factors for pay scale classifications, proceed as follows:
- Select the country grouping for which you want to define pay scale classification conversion factors.
The table where you can define conversion factors for pay scale classifications appears.
In columns 1 through 4, you specify the pay scale that you want to convert. In columns 5 through 8, you specify the pay scale that you want to convert to. In columns 9 and 10, you define a validity period for the pay scale conversion. Finally, in column 11, you define the conversion factor for converting between the two pay scales.
- Choose New entries.
- In columns 1 through 4, enter the pay scale type, pay scale area, employee subgroup grouping and pay scale group of the pay scale that you want to convert.
- In columns 5 through 8, enter the pay scale type, pay scale area, employee subgroup grouping and pay scale group of the pay scale that you want to convert to.
- In columns 9 and 10, define the validity period for the conversion between the two pay scales.
- In the last column, define the conversion factor for converting between the two pay scales.
- Choose Save.
Further notes
Every conversion factor you define can be used in both directions. If, for example, you define a conversion factor of 2 for converting from a C4 FTE to a C7 FTE, then the system will also convert two C7 FTEs into one C4 FTE.
