Using this Customizing activity, you can import the U.S. per diems from the Internet and update the Customizing table for meals per diems. You require the per diems for the U.S. settlement of travel expenses according to the Meals and Incidentals Expenses (M&IE) method.

Requirements

  • You can find the current per diem rate files at http://www.defensetravel.dod.mil. To import the U.S. per diems into the SAP system, you need the ZIP file of "relational" type. Before you can import the file, you have to unpack the ZIP file using a ZIP program. You can then use this Customizing activity to import the unpacked text file with the U.S. per diems into the SAP system.
  • After importing the per diems, you should save the settings of the country and region Customizing table (T706O). This enables you to determine manual changes that have been made in table T706O in the meantime when you next import per diems from the Internet. You need to correct all differences between the previous and current settings of table T706O in this Customizing activity. By doing so, you ensure that the system can uniquely assign the regions to key fields of table T706O when per diems are imported from the Internet.

Activities

To import the per diems into the SAP system, proceed as follows:

First Time You Call the Customizing Activity

When you carry out this Customizing activity for the first time, you create a text file that you import again afterwards.

  1. Create a text file by choosing File -> Create Assignment.
  2. Import this text file by choosing File -> Import Assignment.
  3. Save the data to a text file by choosing File -> Save Assignment.

The Next Time You Call the Customizing Activity

  1. First, import the text file that you saved under File -> Save Assignment the last time you imported per diems.

    The system compares the entries in the text file with the entries in the country and region Customizing table T706O and displays the results of the comparison in the error statistics. How to correct the incorrect entries is explained if you select the relevant entries and choose the detail view.

  2. When there are no more incorrect entries, create the missing entries in the country and region Customizing table T706O by choosing File -> Create entries T706O and copy any entries with a different long text to the country and region table T706O.
  3. Save the correct assignments by choosing File -> Save Assignment.

    A prerequisite for the following steps is that the error statistics show no incorrect entries.

  4. Import the file with the U.S. per diems by choosing File -> Import Per Diems.

    In the same way as when the text file is imported, a comparison is first made between the entries created from the file with the per diems and the entries from the country and region Customizing table T706O. Errors are corrected in the same way as for the text file.

    Additionally, the error statistics show the number of entries that are in table T706O but not in the imported file. For these entries, the system cannot update the Customizing tables for meals per diems.

  5. Once the error statistics show no incorrect entries, update the selected entries in the Customizing tables for meals per diems by choosing File -> Create Entries Accomm./Meals.
  6. Save the assignments by choosing File -> Save Assignment.
