In off-cycle payroll accounting, the payroll administrator first chooses the reason for the off-cycle payroll run. In this step, you:
- Set up the category to which the off-cycle reason belongs
- Define the possible reasons for the off-cycle payroll run
- Assign each reason to a category
The category defines the payroll type and whether the off-cycle payroll run is due to a bonus, a multiple run or some other reason. It is possible for similar reasons to belong to the same category. For example, the reasons Performance Bonus and 13th Month Pay can both belong to the category Bonus Runs, which specifies more precisely the type of accounting.
Example
Employees in your company are to receive performance bonuses in the middle of the year and 13th month payments at the end of the year. In addition, you must execute multiple payroll runs each payroll period for your monthly employees.
In this case, you define in the view Categories for Off-Cycle Reasons, a category for bonus runs and another for multiple runs. Then, in the view Reasons for Off-Cycle Payroll Runs, you define three reasons and assign performance bonus and 13th month pay to the same category.
Requirements
Define which type of off-cycle payroll accounting is used in your company:
- What bonuses are paid in your company?
- Does your company have to execute multiple payroll runs to pay advance payments in the middle of the payroll period?
- Will the advance payment be subject to tax and other deductions or not?
Standard settings
The standard system is programmed with the common reasons for off-cycle payroll accounting. The reasons are already assigned to categories.

Adopt the SAP model entries.
Should you wish to make any of your own amendments to the payroll accounting schema PH00, you should create your own reasons for off-cycle accounting. Enter a reason, a description and a category.

Should you create your own reasons, note that these must begin with 9, Y or Z.
