In this IMG step you can specify indicators and standard texts for reason for selection. You can make these settings dependent on travel profile, trip activity type, and control variant of Travel Planning. The system offers the user the reasons defined here for selection, when, during booking of travel services, a priority situation occurs for which the travel policy requires specification of reasons by means of a reason indicator. The user has to choose one of the reasons specified here in this IMG activity.

By specifying standardized reasons you control the cases in which non-compliance with the enterprise-specific travel policy is to be allowed.

By specifying an indicator for the individual reasons, it is possible for you to structure the content and statistically analyze the reasons used by the users.

The reservation system Amadeus does not use reason indicators. The reason indicators defined in the SAP system are not included in the booking. The system stores the indicators in the SAP database where you can use them for reporting purposes.

The priority situation when a hotel is selected requires a reason by means of a reason indicator. In this case a dialog box appears, offering the user the standard text "Company rate not available" (and possibly, other standard texts) as reasons. Users cannot choose their own reasons and must choose one of the reasons offered. To explain their reasons, users can add a free text as a comment.

Requirements

  • In the IMG activity Define message treatment of priorities you have already defined priority situations that require as a follow-up action a reason to be specified by means of a reason indicator.

Activities

  1. Call the IMG activity Define indicator for reasons.
  2. Choose New entries.
    1. You can choose the travel profile, the activity type and the control variant for Travel Planning, for which the following settings are to apply (not obligatory).
    2. Choose a category for which the reason is to appear (obligatory).
    3. Specify an indicator for the reason (obligatory).
      For the categories Flight and Best-price you have to define unique indicators. The indicators of these categories must not overlap with each other, because the system differentiates according to whether the user chooses a flight via the Best-price function or a general availability query.
    4. Remarks: Specify whether the user has to enter remarks in addition to the reason. In the standard system remarks are not required.
    5. Name: Enter a long text for the reason. This long text will be displayed to the user in the dialog box as a reason for selection.
  3. Save your entries.
