In this step, you assign coding masks for the formatting of the appropriation request number to appropriation request types. At the same time, you can specify coding masks, which are different from the coding masks of the appropriation request, that the system should use for formatting the project numbers and WBS elements belonging to these appropriation request types.

Note

This step is necessary only if you want to have appropriation requests and projects/WBS elements that have numbers that are different, but which still show a clear link to one another. You should first check your requirements in this regard.

For the appropriation request types, you specify:

  • The coding masks allowed for appropriation requests with this appropriation request type
  • The coding mask that should be used for formatting projects or WBS elements that are created from this appropriation request

Coding masks for appropriation request type

When you assign a coding mask to an appropriation request type, the system uses this coding mask to format the appropriation request number of appropriation requests created with this type.

Differing coding masks for approp. request and project

When you also assign a second coding mask to this appropriation request type for the formatting of projects/WBS elements, then the system formats their numbers differently from the appropriation request from which they were created.

The coding ID then has a dual significance: It is the key for the coding masks you create, and is itself a part of the coding mask; and thereby part of the appropriation request number and the project or WBS element number.

The coding mask for the project has to be structured in the same way as the coding mask of the appropriation request, since the system simply replaces the coding mask ID of the coding mask defined for appropriation requests with the coding mask ID of the coding mask defined for projects. The coding mask for a project, therefore, is the same as that of the appropriation request, except for the coding mask ID. In this way, you can guarantee that the projects or WBS elements are always clearly assigned to an appropropriation request.

Example

You defined coding masks A and B. You enter coding mask A for appropriation request type 1. You thereby specify that all appropriation requests with appropriation request type 1 can only be formatted using coding mask A.

In the "ProjID" column you enter coding mask B. This entry ensures that those projects or WBS elements, which are created when the appropriation request is implemented, receive a project number or WBS element number that is different from the number of the appropriation request, for example, B/100 instead of A/100.

Requirements

You must have already created coding masks in Customizing by choosing Appropriation Request Number -> Maintain Coding Masks for Appropriation Request Number

Standard settings

If you do not enter any coding masks for an appropriation request type, the system can use all coding masks that have been entered up to that point for the appropriation request type.

Recommendation

Activities

  1. Assign a coding mask to the appropriation request type.
  2. Assign another coding mask to this appropriation request type in the "ProjID" column.
  3. Assign additional coding masks to the appropriation request type for the appropriation request number or the project number, if needed.
