You can reproduce enterprise structures in the business partner hierarchy. The system generates a mail for every change made to this hierarchy. This mail is then sent to particular employees. You should maintain a distribution list here. This distribution list contains all employees who are to be informed of the change to the hierarchy.
Ouput determination procedure (OutputDeterminationProcedure) The change notification is generated using output control. Therefore, the respective output determination procedure should have been maintained here (e.g.: JGHAEN). You should already have created the output determination procedure Basic Functions->Output Determination->Output Determination in Advertising Management->Master Data Output-> Maintain output determination procedure
Hierarchy change notification distribution list (HierChgeDistr) Each change to the business partner hierarchy is made known by mail to a particular person subgroup. This person subgroup should be defined using a distribution list. The name of the distribution list should be maintained here. You must have created the distribution list first. You must enter the name of the distribution list in the HCN DL field.
The process of creating a distribution list is described below.
Hierarchy change notification template (HierChgeNott template) This standard text for business partner hierarchy activities (Delete, Insert and Change) is used to maintain the texts that are actually entered in the mail for each change made. A corresponding text module should exist and be maintained here. (You will find an example of the content of this standard text in Further notes) The mail'framework' can be editied in Basic Functions->Output Determination->Output Determination in Advertising Management->Master Data Output-> Maintain output types.
Temporary standard text for a variable number of hierarchy change notifications (Tmp.Textelem HiCgMsg) The list of hierarchy change notifications is generated in this standard text. If output control is then used to send a mail to all employees entered in the distribution list, this text module will be included in the mail. This allows you to generate a mail that can contain a list with a variable length. You must enter a valid name of a standard text here. This standard text should not have been created.

Definition of a distribution list
Create a folder in Shared Folders Office->Folders-> Shared Folders Folder->Create (Transaction so04) is used to create a folder with distribution lists e.g.: Type: FOL Name: IS-PAM:DLI Title: Distribution list Target folder: SHARED FOLDERS You can define access authorizations for this folder.
Create distribution list Select the folder you have created. Folder->Choose is used to display the content of the folder. You can now define a distribution list for this folder. Document->Create->(Without reference) Type: DLI Title: Hierarchy change notification distribution list Change options: Modifiable NAME: DLI:GPHIERAE (Note: Enter in the HCN DL field) You can now maintain all employees in the list displayed to whom a a mail should be sent. Choose save (F11).
Example of this standard text ------------------------------------------------------------------ Paragraphs 1 to 3 are the templates for deletion/insertion/change notification. Placeholders &1 ... &5 are replaced as follows in the mail generated: - &1 higher level business partner - &2 lower level business partner - &3 Valid from - &4 Valid to - &5 Involvement in percent Text with paragraph format 1 : is used for deleted entries 2 : is used for inserted entries 3 : is used for changed entries.
Entries with these paragraph formats should exist. A generated mail line cannot be longer than 72 characters.

Maintain condition record To send a hierarchy change notification, an entry should have been made in the respective conditon table. This entry should be made using Basic Functions->Output Determination->Output Determination in Advertising Management-> Master Data Output-> Maintain condition records and must have the following features: Hierar.CN: 1 Function: MP Partner: Med: 7 Lne: 4 L: E Communication is used to maintain the following attributes: Transaction code: JJH2
