Use

If you want to insert a new symbol for a characteristic in a report template, you must create the symbol manually first and then insert it in the report template. The steps required to do this are described below. The description is valid for all report applications in Industrial Hygiene and Safety. For more information about the report applications, see Check Product Safety Settings.

The examples listed refer to the sample templates for report applications included with the standard system. The same applies, however, to all other industrial hygiene and safety reports, such as accident notifications.

Requirements

You have created the characteristic in the classification system and assigned it to a class of the report application. See also under Assign Value Assignment Types to Classes.

The report application for the standard operating procedure is called WORKAREA.

Activities

Step 1: Create symbol

  1. In Customizing for Basic Data and Tools, call the IMG activity Check and Specify Report Symbols.
  2. Create the new symbol in accordance with the following regulation:
    • Report symbol type: 02 (parameter symbol)
    • Symbol group: Choose the symbol group for the respective report application, for example, 01 for the work area or 11 for the accident victim.
    • Access key parameter: CLASS
    • Class type: 100 (value assignments)
    • Class: class number of the new characteristic
    • Characteristic: key of the new characteristic
    • Expansion time: 20 (expand in report)
    • Expansion mode for characteristics assigned phrases as values: GPC (graphic/phrase/code)
    • Leave the field blank for all other characteristics.
  3. Leave all other entry fields in the activity blank.

Step 2: Insert symbol in report template

  1. In the Basic Data and Tools menu, choose Report Definition -> Edit Report Templates and select the relevant report template.

    For the standard operating procedure the template is EXPL_SOP.

  2. Open the report template in edit mode. If necessary, you may have to cancel the release status of the template in order to edit it.

    The system opens the template in Windows Wordprocessor Integration (WWI).

  3. In WWI, choose Insert Symbol.

    Enter the key for the new symbol and choose GPC as the expansion mode for characteristics assigned phrases as values. For other characteristics choose None.

    Note:

  4. Make sure that you only use parameter symbols that belong to the symbol group of the report application for which the report was created.
  5. Choose Save and then choose Check in the following popup to save the template in the SAP system. The template must be free of errors.
  6. Choose Back (F3) to exit the screen.
  7. Release the report template.

Result

Once you have assigned the released report template to a generation variant, you can create a standard operating procedure on which the respective value assignment of the characteristic is printed.

Notes on Creating the Report

Reports of the work area report application (WORKAREA) that refer to an agent must be created in an earlier step as a report body. This step is not required if you set the Generate manual requests automatically in the generation variant.

For exposure-related standard operating procedures, you must also have assigned the respective agent to the work area in the exposure profile.
