Use

In this process step, you perform the settings for managing expert communities.

Expert communities can be composed of any number of experts. The characteristics of expert communities are defined by assigning a profile type and any number of search scenarios.

In this activity you can perform the following activities:

  • Create, change or delete expert communities
  • Assign individual experts or groups of experts to communities or delete the assignment
  • Assign expert profile types and search scenarios to an expert community or delete the assignment
  • Create, change or delete experts

Expert communities are always valid according to the key date on which they were created or changed. In the SAP standard system, the key date is always the system date. If you want to change this date, you can do this in the menu, under Extras -> Change Delimitation Date.

Requirements

You have checked the fields in the General Settings (V_T7EXP_SETTINGS) view, and tailored them to suit your requirements:

- Object Type Not Used for Expert
This entry enables you to control whether one of the two object types, user or person should be hidden in user adminstration.

- Save Profile Without Changes
This entry defines whether the user can save the profile if no changes have been made. This setting influences the system response time.

- Default for 'Search Allowed' for Expert

This entry enables you to determine whether the expert can use all search scenarios.

Activities

Manage Expert Communities

  1. Create new expert community
    1. Select the Create Expert Community pushbutton.
      In the Expert Community group box, store a label and an object abbreviation for the new expert community.
    2. On the Characteristics tab page, select an expert profile type and at least one search scenario from input help.
    3. Save your entries.
      The new community is created and added to the list of existing communities. The system generates an ID for the community you have created.
      After you have saved the data, the Assign Additional Experts tab page is displayed.
    4. On the Assign Additional Experts tab page, use the Assign Users or Assign Persons pushbutton to assign the required users or persons to the expert community.
      The pushbuttons enable you to assign individual experts, more than one expert or a group of experts (for example, company code, department, and so on).

      If you want to assign experts individually, you must process the following fields:
    5. - Object Type of expert
      - ID
      - LDAP Key
      - If necessary, the Search Authorization checkbox.

      If you select an expert in change mode, the expert is given the status Locked and is only released for processing once it has been saved. The possible statuses for experts are explained in more detail in the quick info for the status icon.

    6. Save your entries.
      The expert community is created with the key date.
  2. Change expert communities
    1. Access the required expert community in change mode.
    2. Change the expert community according to your requirements. You can change one or more characteristics, for example:
      - Change the name of the expert community
      - Change the assignment of the expert profile type
      - Change the assignment of the search scenarios
      - Assign additional experts
      - Delete the assignment of assigned experts
      - Delete the expert community
    3. Save your entries.

Assign Experts

To assign a person or a user to one or more expert communities, proceed as follows:

  1. In the structure, use the Person or User pushbutton to select the expert you want to create.
    Depending on the Customizing settings in the General Settings activity, only one of these selection options may be available.
  2. In the LDAP Key field, enter the person's or user's LDAP key.
  3. Check that the default setting in the Search Authorization checkbox fulfills your requirements. If necessary, select or deselect this field.
  4. In the Assignment to Expert Communities group box, use input help to assign the required communities and assign priorities if you want to assign more than one expert community to an expert.
  5. Save your entries.

Change Assignment of Person or User

When you change the assignment of a person or user you can also change the characteristics that you assigned when you created the expert. Proceed as follows:

  1. Double-click on a person or user.
  2. Change the settings according to your requirements. For example, you can change the:
    • Entry for the LDAP key
    • Search authorization
    • Assignment to expert communities
    • Priority of assigned expert communities
  3. Save your entries.

Delete Experts

You can only delete individual experts. Proceed as follows:

  1. Using the Person or User pushbutton, select the required expert and display the corresponding data by double-clicking.
  2. Select the Delete icon or from the menu, select Experts -> Delete.

If you choose delete, all data that exists on the expert is irretrievably deleted from the system. This data includes the assignment of the user or person to an expert, the expert profile, and the photo.
