Use
In this IMG activity, you can create a record model for using the Digital Personnel File (DPF). Since each record must be based on a record model, you must use at least one record model.
You create record models in the Records Modeler, a Records Management tool that you can access through the Records Organizer. For information about the structure and functions of the Record Modeler, see SAP Library under SAP NetWeaver Library -> SAP NetWeaver by Key Capability -> Application Platform by Key Capability -> Business Services -> SAP Records Management -> Records Management Interfaces -> Editing Tool for Record Models: The Records Modeler.
Requirements
Standard settings
In the standard system, a sample record model for using the DPF is predefined. This model has the following structure nodes and two model nodes (for process documents and for archived documents) are created under each structure node.
- Certificates
- Legal Documents
- Remuneration Documents
- Employment Relationship
- Life Events
To find this model:
- Enter the value ASR_DPF for the RMS ID.
- Open the Record Models node, select the model displayed, and then choose Search in the context menu.
- Choose Execute Search in the following dialog box. The result of the search returns all record models with the RMS ID ASR_DPF. The sample record model has the name Sample Record Model for DPF.
Activities
When using the sample record model:
- You can use the predefined record model. You do not need to define another record model.
- If the structure and model nodes of the sample record model are not sufficient for your purposes, you can enhance this model and create more nodes. For more information about this, see When using your own record model.
When using your own record model:
- For information about the exact procedure for defining a record model and specific nodes, see SAP Library under SAP NetWeaver Library -> SAP NetWeaver by Key Capability -> Application Platform by Key Capability -> Business Services -> SAP Records Management -> Records Management Interfaces -> Editing Tool for Record Models: The Records Modeler -> Creating a Record Model.
Note also the following:
- When you call a newly created record model in the Records Modeler for the first time, the standard structure node Worklist appears. Delete this node and create your own structure nodes.
- Ensure that you assign all model nodes with the relevant created element types.
- The model nodes that you create in the record model have the node attribute Anchor by default. Ensure that you assign the anchor created in the IMG activity Define Node Attribute "Anchor" to all model nodes.
- If you create a model node, the system automatically creates a notes node. To ensure that the documents are displayed correctly in the DPF, you must delete this notes node.
- Once you have saved and released this newly created record model, you must assign this model to the previously created element type for records. Go back to the IMG activity Define Element Types and make the following settings:
- Open the element type for records you use in the service provider for records (ASR_SP_RECORD).
- Select the Connection Parameter Values tab page and then Display <=> Change.
- Select the parameter ID MODEL_ID and then choose Change.
- Select the RMS ID ASR_DPF in the following dialog box.
- Use the value help to enter the newly created record model as the parameter value.
