An additional table field is assigned to an InfoSet so that you can also display the long text belonging to the field concerned when you create a query for certain fields. This is in addition to the key stored on the database. This allows users who are not familiar with the number keys to work with the query.

The HR application has a special option which allows you to assign an additional table field to several InfoSets.

Before you assign a new table field to an InfoSet, have a look at what table fields already exist and then think about what infotype you want to assign the table field to.

You assign a new table field in the following two steps:

  • In the step Additional fields and table fields in HR Query, you assign the new table field to an infotype, to the additional field type T (for table field) and to one of the following three applications:
    • Application H (Personnel Planning)
    • Application P (HR Master Data)
    • Application Z (Time Management)
  • In the step Table access for HR Query, you define what value is used to read the key fields in the table belonging to the additional table fields.

    These entries are used to read table for the additional table fields that have been assigned. The appropriate parameters (data fields and/or literal) must be assigned to all the key fields in the table that is to be read.

Since the new table field is assigned to an infotype, it can only be used in a query if the InfoSet has been created with this infotype.

In the screen Change InfoSet <name>, the new table field will be displayed as a field within this infotype and is assigned to the corresponding InfoSet per default. (The other fields of the additional table are also displayed but have not been assigned to an InfoSet).

Note

When you assign a table field using the procedure described above, you cannot include it in an InfoSet that already exists.

Example

In the infotype 0001 (Organizational Assignment), the company code is stored in the field P0001-BUKRS with the corresponding key. You will find the long text for this field in the table T001 in the field T001-BUTXT. One of the fields that belongs to this key field is the field T001-BUKRS. The variable values that have been stored in the field P0001-BUKRS should be used to read this key field.

In the first step, you assign the field T001-BUTXT to the infotype 0001 (Organizational Assignment). Enter the additional field type T and the desired application key.

In the second step, enter the table name of the additional table field T001 and the necessary key field BUKRS. In the field Parameter, enter the data field P0001-BUKRS.

Then create a new InfoSet with infotype 0001 (Organizational Assignment). The additional table field will be displayed on the screen Change InfoSet <name> as one of this infotype's fields and will be assigned to the appropriate field group.

Prerequisites

Standard settings

In the standard SAP system, several additional fields have already been assigned to the infotypes.

Recommendation

SAP recommends that you when you are assigning new table fields, you use the SAP standard entries as a reference.

Activities

  1. In the dialog box, choose Additional table fields HR Query.

    You branch into the view Additional table fields HR Query.

  2. Choose Edit -> New entries or choose New entries.

    You are now at the bottom of the table. You can maintain your new entries here.

  3. In the column Field name, enter the technical field name of the table field that is to be read.

    This name is made up of the table name to which the table field is assigned in the database and the technical field name of the table field.

  4. Assign the table field to an infotype.

    Please note that a table field can only be assigned to one infotype.

  5. In the column Additional field type, enter the key T for the table field.
  6. In the column Application, enter one of the keys for the applications permissible in HR.
  7. Save your entries.
  8. Go back and in the dialog box, choose Table access for HR Query.

    You branch into the view Table access for HR Query.

    In this view, you specify the key that is used to read the table which contains the information on the new table field.

  9. Choose the Edit -> New entries.
  10. In the field Table name, enter the name of the table which contains the information on the new table field.
  11. In the field Field name, enter the technical name for this table's key field.
  12. In the field Parameter, assign a suitable parameter (data field or literal) to the respective key field.

    If the table of the table fields to be read contains several key fields, carry out the above steps for each key field. You must assign a parameter to every key field.

  13. Save your entries.
