The euro changeover package does not provide any special functions for memo values. The system simply translates memo values. It does not verify that the memo value is a certain amount (such as 1 euro) after the changeover.

Therefore, you should deactivate the memo value function before the changeover. When you do so, the system then depreciates the existing memo values according to the depreciation terms in the given asset.

If you do not deactivate memo values, the system converts both the memo values that are specified in Customizing and the memo values on your assets into euros. The system converts gross amounts (APC and accumulated depreciation) during the changeover. As the result of rounding, therefore, the memo value on some assets after the conversion can be slightly below the correct memo value amount. The euro postprocessing program then identifies these assets as having errors. If this happens, you should manually reduce the memo values specified in Customizing.

Be aware of the following: If you have activated the option for rounding the net book value at the end of the fiscal year, the system rounds memo values at the end of the year. If the memo value is less than one euro, the system rounds it to zero. In effect, the memo value is lost.

For more information on this rounding option, see the FI-AA Implementation Guide under "Valuation -> Amount Specifications."

Note

The memo value function in SAP R/3 Asset Accounting is actually intended solely for managing memo values that you carried over from your legacy system. The memo value function is generally not required in the R/3 System, since all assets in the subsidiary ledger are managed using gross values. This means that the system keeps track of gross acquisition values and accumulated depreciation, not just net book values. Therefore, you can also run reports on assets that have a net book value of zero in the FI-AA Info system. You are thereby guaranteed that even completely depreciated assets with net book values of zero are displayed in all legally required reports.

Recommendation

You should discuss the treatment of memo values with the person responsible for your external auditing, since changing your use of memo values is a serious step with regard to your accounting policy.

Activities

  1. Deactivate the memo value function by entering zero as the memo value.
  2. Carry out a depreciation recalculation for the company codes involved.
