Use

In this IMG activity you check the default settings that must exist in addition to the basic settings if you want to export EH&S reports by a program based on various criteria. You can run the report export in the formats supported by the program Windows Wordprocessor Integration (WWI).
This is an extra option in addition to the report export of individual reports using the report information system (see IMG activity Report Export (Dok-X): Check Additional Settings).

Note:

Report export is a special form of report shipping and is integrated in Customizing for Product Safety in report shipping.

While report shipping can be started immediately or in the background, report export only ever runs in the background. The export order only needs to be created by the report program RCVDCREO for the first export of a report. The rest of the process is done by the report shipping jobs scheduled periodically in the background (see Set Up Jobs for Report Shipping). By default, the subsequent shipping indicator is set in the IMG activity Specify Shipping Reasons for the reason EXP_CALL and the reason type CHEMTR_EXP.

Activities

Check the settings in the following IMG activities in Customizing for Basic Data and Tools:

  • Manage User Exits

    Check the following assignments of User exit category/User exit name :

    • SRE_SUBSEQ / EHS_DOKX_E:
    • Contains the function module that guarantees subsequent export. The reports intended for export are determined and the export orders are created.
    • SRE_DIST / EHS_SAVE_S:
    • Contains the backup function module that deletes all export orders with status Historical except for the most current.
    • SRE_DIST / EHS_SEND_C:
    • Contains the function module that writes the final reports to a predefined directory on the application server and defines the format.
    • SRE_EXPKEY / CMTR_EXPKY:
    • Contains the function module that creates a key file for the reports that are contained in the export order.
  • Specify Environment Parameters

    Check the following environment parameters:

    • RE_LAST_EXPORT: Date of the last report export (if you want to use subsequent shipping)
    • SRE_EXP_INITIATOR: Initiator for shipping order

Check the settings in the following IMG activities in Customizing for Product Safety:

  • Specify Shipping Reasons

    Check whether the following entry for the business process Material safety data sheet (MSDS_DIST) exists:

    • Reason: EXP_CALL
    • Reason type: CHEMTR_EXP

      Check the detail entries. By default, the following applies:

    • Subseq. shipp. indicator set
    • Final report indicator NOT set
  • Specify Communication

    Check whether the following data is available and check the detail entries:

    • Communication type: RML
    • Communication group: NFS
    • NFS can be used to form one uniform file system in one network between two different file systems and thus enabling the transfer of files between them both.
    • Source doc. format: WWI
    • Comm Group Label: Export within NFS network
    • Output format: for example, PS or DOC
    • Disp./Backup format: for example, RTF
  • Assign Communication Types

    Check the following entry that defines the type of data exchange when carrying out export:

    If the reason is EXP_CALL, the reason type is CHEMTR_EXP, and the business process is MSDS_DIST, the communication type RML and communication group NFS is used.

  • Assign Shipping Objects

    Check the following entry and the corresponding details:

    If the communication type is RML and the communication group is NFS, the shipping object STD_MAIL is used.

  • Assign Names for User Exits

    Check the following assignments:

    • For communication type RML and communication group NFS, the following assignments have been made:
    • Exit category: GENERATE
      User exit category/User exit name: SRE_DIST / EHS_GEN
    • For reason EXP_CALL, reason type CHEMTR_EXP, and business process MSDS_DIST, the following assignments have been made:
    • 1st assignment:
      Exit category: SEND
      User exit category/User exit name: SRE_DIST / EHS_SEND_C
      2nd assignment:
      Exit category: SAVE
      User exit category/User exit name: SRE_DIST / EHS_SAVE_S
