Use

In the Environment, Health and Safety (EH&S) SAP component, you can use the Edit Cover Sheet Templates transaction to insert address blocks with up to nine address lines on cover sheet templates for material safety data sheets. These address blocks are used to print the recipient and sender addresses according to the standard address format in the recipient's or sender's country. The relevant address symbols for printing address blocks can be found in the report symbol group 06X Parameter: Address Data for Cover Sheet. The formatted address information is printed on the cover sheet line by line.

Requirements

  • In the Customizing activity Specify Report Symbol Groups, the report symbol group 06X Address Symbols for Cover Sheet has been defined.
  • In the Customizing activity Define Countries in mySAP Systems, those countries are entered with which there are business relationships and to which material safety data sheets are sent with addresses in the standard address format used by the recipient's country.
  • You use the environment parameter SRE_ADRSYM_COVER_CTY_LANG to specify the language in which the name of the country of destination is to be printed on the cover sheet of the material safety data sheet. If a language is not defined here, the country of destination is printed in the language of the sales organization or sender.
  • The required international address versions have been activated in the Customizing activity Activate International Address Versions.
  • In the Customizing activity Activate Regional Structure Check for International Address Versions, you have defined the City file active setting and you have specified, for each country, the international address versions for which the regional structure check (city file check) is to be active.

  • In the Display Customer transaction, you have selected the international versions relevant for the customer on the Address tab page.
  • In the Address Maintenance: Display "EHS Recipient" transaction, you have selected the required international version for the recipient.

Standard settings

In the standard system, three address types are provided that contain address symbols for printing up to nine address lines for each address type:

  • RCACL Address Data for Recipient, Lines 1 to 9: The recipient's address is printed.

For this, the system checks whether address data from the address database has been defined for the address lines.

  • The code for printing the address of the goods recipient is nested in a blank compression with an alternative: If no data with a contact person (EHS_RCAPL) exists for the goods recipient, the address data of the goods recipient is printed without a contact person (EHS_RCACL).
  • Lines 4 to 9 of the address data for the goods recipient (with and without contact person) are each nested in a blank compression. For this, the system checks whether address data from the address database has been defined for the address lines.

Note

In the standard system, Windows Wordprocessor Integration (WWI) contains the template MSDS_COVERSHEET_EXAMPLE for printing addresses in a country-specific format on cover sheet templates for material safety data sheets. If you want to work with this sample template, import the files into your system. For more information, read the Import Sample Templates description.
