This section describes which process instruction characteristics you have to assign when defining process instruction categories of type process data request for the SAP PI sheet.
You need to define the following information in a process data request by assigning characteristics:
- Type of process data request
- Message category
- Message characteristics
- Value assigned in planning
- Value assigned automatically
- Value assigned manually
- Value assigned using variable
- Output values
A process data request can only contain either message characteristics whose value is assigned in the PI sheet, or message characteristics to which the value of a variable is assigned.
You can define the message characteristics in any sequence. However, the process instruction characteristics pertaining to a message characteristic must be defined in the sequence described in the corresponding section. You determine the sequence of the process instruction characteristics using sort numbers.
When you create a process instruction, the characteristics of the process instruction category are copied to the process instruction. You can, however, change or delete the characteristic assignments in the process instruction.
Characteristic values providing general information, such as the required message category, can be assigned to the process instruction category. Process-specific values, such as a required amount of material, can be added in the master recipe or in the process order.

The standard system contains examples of process data requests for the R/3 PI sheet.
Activities
- Select the process instruction of type "process data request" to which you want to assign the characteristics.
- Go to the Characteristics/instruct. cat. screen.
- To assign characteristics, choose New entries.
- Enter the sort number and the names of the characteristics you want to assign.
As an aid, you can display the characteristic assignments of the message categories you want to request.
- Enter the sort number and the name of the characteristics you want to assign.
- Choose Enter and add a characteristic value if required.
- Characteristics for which the T indicator has been set are assigned a long text. You maintain this text as follows:
- Select the characteristic and choose Long text.
- You branch to the text editor.
- Enter the text and save it.
- Do not use character formats such as bold or italics in the text. They are not taken into account in the SAP PI sheet.
- Choose Back to go back to the screen for characteristic value assignment.
- Save the settings.
Further notes
- If the value of a characteristic can be assigned automatically in the control recipe or the process order, the A indicator (automatic value assignment) is displayed for this characteristic in the instruction category. For more information on the value assignment function used for the characteristic, see field help for the indicator.
- If a process data request does not contain message characteristics whose values are to be assigned manually, the data request is not displayed in the PI sheet. The message for the "hidden" data request is created and sent automatically when you send the message for the preceding data request or process data calculation formula.
- Process data request for signing a processing step
Note on BC Sets and Transport
If you include your process instruction categories in a Customizing transport, the corresponding long texts are included in the transport request. However, the long texts cannot be included in a BC set. If you want to include your process instructions in another client or another system with the help of BC sets, you have to include the long texts manually in a workbench request and transport them separately (see Transport long texts of process instruction categories).
