When you transfer time sheet data to Controlling, the system fills CO documents.

In the standard system, one CO document is filled per transferred record. This can lead to large volumes of data in Controlling however.

In this step, you can determine that records are cumulated and transferred to Controlling. This enables you to reduce the number of CO documents that are generated and therefore the volume of data. In addition, depending on how the data is cumulated, you can analyze the data that is relevant for cost accounting in Controlling according to your business requirements.

You can use the following variants to control how the CO documents are filled for each transfer:

  1. The system fills a CO document for each transferred record
  2. The system writes all transferred records to one CO document
    Each record then represents one line item in the CO document.
  3. The system fills one CO document for each personnel number
    Each record for a personnel number represents one line item in the CO document for that personnel number.
  4. The system summarizes all records in one CO document
    The summarization process groups together all records with the same combination of sender and receiver object. The summarized totals each represent one line item in the CO document.

  1. The system summarizes all records for one personnel number in one CO document
    The summarization process groups together all records with the same combination of sender and receiver object for each personnel number. The summarized totals each represent one line item in the CO document.

Note that the system does not generate documents for more than one period. If records have several different posting periods, the system posts cumulated or summarized records in several documents according to their posting period.

If you cancel records in the time sheet that you have already transferred, the system reacts in one of the following ways depending on your Customizing settings:

  • The time sheet data is not summarized. The system generates one CO document for each transferred record.
    The system generates a cancelation document for the record that was canceled after transfer.
  • The time sheet data is summarized. The system generates one CO document for several records.
    The system posts the cancelation record as a negative record in Controlling. If the system were to cancel the whole CO document containing the cancelation record, all the records in the CO document would have to be posted again in a new CO document.
    If you cancel time sheet data, you should be aware of any possible price changes that may occur between the date of the cancelation record and the current date. The cancelation record is posted as a negative record at the current price, which can lead to inconsistencies in the data.
