Use

You can use this IMG activity to create and change element types. and create values for classification parameters.

When you create an element type, you must assign classification parameter values to the element type. SAP delivers values that you can use, but you can create your own values for some parameters. We recommend that you create your own value for the classification parameter Records Management System (RMS).

Requirements

To maintain element types, you require the authorization object S_FRA_SP.

Activities

A dialog box appears in which you select an area where you want to create the element type. Areas divide up Records Management applications. SAP delivers the area S_AREA_RMS for Basis Records Management.

After selecting an area, you go to the registry maintenance function. Only those entities in the selected area are displayed.

Creating RMS (and Other Optional Classification Parameter Values)

The classification parameters are at the top of the overview hierarchy. The corresponding values are on the next level down. To create a new classification parameter, proceed as follows:

  1. Position the cursor on a classification parameter and open the context menu. Choose Create Classification Parameter Value.

    A dialog box opens.

  2. Enter the parameter value and a short text. The other values are generated automatically by the system. Save your entries.

    The system generates a parameter value ID.

The following explains the classification parameters:

SAP delivers the values S_RMS_DATA and S_RMS_DEMO. All element types delivered by SAP are assigned to this RMS. We recommend you create a new value for the parameter RMS. If you want to manage your set of records in multiple independent RMSs, then create multiple RMSs.

SAP delivers multiple values. You can assign your element types to these values. You only enter a new value if you have implemented your own service provider, and the elements in your service provider are not assigned to one of the types already available.

  • WF_RAISE_EVENT: Flag that specifies whether workflow events are triggered

    This classification parameter has only one meaning for element types of the service provider for records and of the service provider for documents. This parameter is not significant for other element types. SAP delivers the value 'X'. You cannot create a new value. If you select the value 'X' when you create an element type, the following events of the business object RECORD or DOCUMENT are raised: CREATED, CHANGED (with the parameter NewVersionCreated), CLOSED, DELETED

  • USE: Where-used list active or inactive

    SAP delivers the value NOT_ACTIVATED. You cannot create a new value. By default, the where-used list is active for every element type. You can ignore the parameter USE when you maintain element types, unless you want to deactivate the where-used list (for performance reasons).

  • LOG_LEVEL: Detail level of logging

    The detail level determines how detailed the activities are logged. The higher the level, the more detail. You can add more levels to those supplied. A new detail level is only relevant for element types whose service provider has assigned an activity to this level. For element types of the standard service provider you can only use the supplied detail levels. The standard setting for each element type is level 3.

  • LOG_KEEP_DAYS: Length of time (in days) that log entries are kept

    You can enter any value you want. The standard setting is 365 days.

  • LOG_NOT_DEL: Flag that specifies whether logs are deleted after an expiry date

    This parameter refers to the parameter LOG_KEEP_DAYS. The expiry date is the date that is calculated from the entry for LOG_KEEP_DAYS. SAP delivers the value 'X'. You cannot create a new value. If you select the value 'X' when you create an element type, then the logs are not deleted, even after the expiry date. If you want the logs to bde delete, do not select a value for this parameter when you create an element type.

Creating Element Types

Element types parameterize a service provider. In each service provider at least one element type must be created, so that service provider services can be used.

  1. Expand an area.
  2. Place the cursor on the service provider you want to create an element type for and open the context menu. Choose Create Element Type.

    A dialog box appears.

  3. Enter a unique ID and a short text for the element type. Choose a unique short text within the RMS so that the element type can be identified by the user. Then choose Continue.

    Another dialog box appears with three tab pages.

  4. Enter the required data.
    • Tab Page Properties:
    • The entries are generated by the system. You can only enter the short text.
    • Tab Page Connection Parameter Values:
    • Under Connection Parameter, enter values by selecting a parameter and choosing Change. If you want to give a parameter multiple values, choose Create.
      Note: For information on possible values see the documentation Records Management (SAP Library) in section Customizing -> Standard Service Provider.
    • Tab Page Classification Parameters:
    • Choose Create.
      A dialog box appears where you can see all the classification parameters of the area and their values.
      Double-click on the values you want to assign to your element types. You can select values 0 to n.
      Note: You should always choose a value for RMS_ID and a value for TYPE, so that the element type is displayed in the Records Organizer.
  5. Save your entries.

    Your entries on the three tab pages are saved. The new element type appears in the overview hierarchy.
