Use

This IMG activity describes which activities you have to carry out to configure the incoming post process. This process allows the documents entering incoming post (e-mail, faxes, scanned documents) to be entered in the incoming post book in electronic form and to be forwarded to the responsible processor.

Settings in other areas such as in the Customizing of the SAP Archive Link or SAP Business Wokflow must be defined in addition to the IMG activities in the implementation guide (IMG) of Records and Case Management.

Requirements

Before you execute these activities, you must carry out the following activities:

  • The standard settings for the SAP Business Workflow must be defined.
    You can find more information on this in SAP Customizing, under SAP NetWeaver Application Server -> Business Management -> SAP Business Workflow -> Maintain Standard Settings.
  • A file system must be installed for scanned documents.
  • The scanning software must be installed and set.

Activities

Configure E-Mail in SAP Web Application Server

  • Activate HTTP Services

    You can find more information in the Customizing of SAP NetWeaver Application Server, under Web Applications -> Activate HTTP Services. Note that you have to enter the language in which the incoming post items are to be created as the logon language on the tab page Service Data under Anonymous Logon Data. The system only starts the incoming post process in the language you want when you have done this.
  • Define rule for incoming distribution

    Call up transaction SO50 and define the exit class CL_RMPS_INCOMING_MAIL for all incoming mail you want to convert to incoming post items.
    Example:
    Communication type: internet mail
    Receiver's address: *
    Document type: *
    Exit name: CL_RMPS_INCOMING_MAIL
    Call sequence: 2
    You can find more information on transaction SO50 in the documentation under Help -> Application Help -> Incoming Distribution -> Exits for Incoming Distribution.
    Enter the class CL_RMPS_PRO_MIME_HANDLING for a TNA scenario. If this class is used, incoming e-mails are not converted automatically into incoming post items; instead the MIME header is saved in such a way that, for example, certain attributes are filled.
  • You can find information on the prerequisites and settings outside the SAP system in SAP note 455140.

Create Content Repository

In this IMG activity, you define the connection to your file system (archive or HTTP content server). You can find more information on this in the IMG of Archive Link under Basic Customizing -> Define Content Repositories.

Notes:

  • In this activity, you only set the indicator No Signature in test systems. If problems occur with the signature, see SAP note 500022.
  • If you use the HTTP content server as a file system, you do not have to make any entries in the fields Basis Path and Archive Path.

Define Full Text Settings for Scanned Documents

If you also want to use the full text search of the search function for finding scanned documents, the scanned documents have to be converted in OCR and filed in a directory which can be accessed by the SAP system and the scanning software.

Provided that the scan software can convert the files to OCR and copy the file name to SAP using the module ARCHIV_PROCESS_RFCINPUT, you only have to specify in which directory the files should be stored in Customizing of the System Administration.

Execute the IMG activity "Maintain File Name and Path (Non-Client-Specific)" for this.

  1. Select the logical file path RMPS_OCR_SCAN_DIR (path in which the OCR Document is filed) and choose Assignment of Logical Path - Physical Path. Enter your operating system and physical path.

Customizing for the Process Route of the Incoming Post Items

To define the process route for incoming post items, you have to execute the following IMG activities in Customizing of Records and Case Management. You can find more information on the individual activities in the documentation of the IMG activities.

Define Basic Settings for Scanning

So that, for example, the attribute of an document can be automatically copied in the system when it is scanned, you have to make the following entries using transaction SE16 for the table TOAEX:

Settings in Customizing of Records and Case Management

To adjust the incoming post process to suit your own requirements, you have to make the following settings in Records and Case Management. You can find more information on the individual activities in the documentation of the IMG activities.

Settings in Customizing of Archive Link

  • Define Viewer Settings for Windows
    We recommend the ECL control delivered by SAP. ECL control supports red lining, zoom, rotate and so on. Alternatively, you can use a different viewer.
    The following steps are required to use the ECL control:
    • Process Document Types
      Under Basic Customizing -> Edit Document Types, you have to enter the application EAIWEB.WEBVIEWER2D for the document type FAX as an application. Enter the following descriptions:
      Long Description internal format for TIF files
      MIME Type image/tiff
      Application EAIWEB.WEBVIEWER2D
      The viewer must be installed on your PC.
    • Activate ECL Control
      Under Customizing Enhancements -> Edit All Basic Settings, set the indicator Take ECL Control into Account.
  • Edit Document Types
    Use the standard SAP document types under Basic Customizing -> Edit Document Types. A document type SAP delivers two document types. One for filing incoming scanned documents RMPSSCAN and one document type for for rescanning after an external step RMPSRESCAN. Assign the two documents to the document type FAX.
  • Create Linkage between Object Type and Document Type
    Create a linkage between the two document types (RMPSSCAN and RMPSRESCAN) and the business object type RMPSPOST under Basic Customizing -> Edit Linkages. You have to assign the created content repository in which the scanned documents should be filed. In addition, enter a table for storing the linkages, for example TOA01.
  • Flag Document Type as Relevant for Workflow
    Execute the wizard under Documents Entering Customizing -> Workflow Scenarios -> Execute Document Types Customizing. Alternatively, you can also execute the activity Assign Document Type to a Workflow". Activate Bar Code Entry
  • Activate Bar Code Entry
    You can activate the bar code entry for your document types under Documents Entering Customizing -> Bar Code Scenarios -> Activate Bar Code Entry.
