Use

In order to define which generation rules should be used for generating record reference numbers, case indicators and document numbers, you must assign the rules to the appropriate element.

You make this assignment in the following IMG activities:

Record

You make the assignment by assigning one or more generation rules to a record model:

Enter the names of the generation rules as values for the multiple-value attribute generation rule for record number in a record model. You make this setting in the IMG activity Create Record Model.

The generation rules for the reference number can then be used for all records which are based on this record model.

  • If you only define one rule name for the record model, this rule is used directly for the generation of the reference number.
  • If you define a number of rule names for the record model, a selection list with these names is displayed for the user.
  • If you have not defined any rules names, a list with all rules (of the type record number) is displayed for selection. However, if you have created a rule with the name DEFAULT, this is used automatically and no selection list is displayed.

Case

You assign generation rules for case indicator to case type in the IMG activity Assign Generation Rule for Case Indicator and Case Type.

Document

The user selects the generation rule for the document number from the list of all rules for document numbers. Exception if there is a rule with the name DEFAULT, this is used automatically and a selection list is not displayed.

Incoming Post Item

In the registry, you define which rules should be used for generating the document number. (You can find more information on maintaining the registry under Set Up Registry).

You can define the rule element type (incoming post indicator or document number) and the rules that can be used for this type for the element type of incoming post items. If you do not make any settings like these in the registry, the rule type PST (incoming post indicator) is used and all rules of this type are displayed for selection. Exception: if there is a rule with the name DEFAULT this is used automatically and a selection list is not displayed.

Next, set the rule element type. You can select the rule element type PST (incoming post indicator) or the rule element type DOC (document number).

For example, if you want to give a number to documents and incoming post items, select DOC.

To set the rule element type for the element type of an incoming post item:

  1. Select the element type and choose the activity Change.
  2. Select the tab page Connection Parameter Values.
  3. Select the line with the parameter ID RULE_TYPE, and select Change.
  4. Select a RMS system from the value help.
  5. Enter the parameter value or select a value from the value help.

To set the rules which can be used for the selected element type:

  1. Go to the tab page Connection Parameter Values of the element type of an incoming post item.
  2. Select the line with the parameter ID DEFAULT_RULES, and select Change.
  3. Select a RMS system from the value help.
  4. Enter the parameter value, or select a value from the value help.
  5. Save your entries.

If you have defined a rule name for the element type, this rule is used directly in the generation of the document number.

If you have defined a number of rule names for the element type, these names are displayed during the generation of the list.

If you have not defined any rule names, a list with all the rules is displayed. However, if you have created a rule with the name DEFAULT, this is used automatically and no selection list is displayed.

Note: If you want the document number to be generated automatically when you create an incoming post item, you can only define generation rule that does notrequire user input in the parameter LS>DEFAULT_RULES.
