In this step, you:

  • Create create new commitment type profiles
  • Create the parameters for new commitment type profiles
  • Change existing commitment type profiles

You must create a commitment type profile if you want availability contol to behave differently for commitment postings using the various commitment value types.

For example: You may want to stipulate that certain postings (say, purchase orders) must not lead to your organization's budget being exceeded, while other postings (example: purchase requisitions) may cause a budget overrun by a certain amount.

So that you can enter such stipulations, there are "hard" and "soft" commitment types, which you can assigned to the respective commitment value types. If a funds commitment is to be "hard" for a value type, availability control generates an error messages if a posting exceeds one of the tolerance limits and the action specified for such cases is an error message. However, if the commitment is "soft", availability control issues only a warning for this case. The posting can proceed.

Checking Logic in Availability Control

The availability check for budgeting, assigned value reconstruction, and postings where the commitment type is "soft" is now a two-stage process:

First, the system checks the total for all hard funds commitments. If the tolerance limit is exceeded, availability control issues an error message. If the tolerance limit is not exceeded, the system conducts a further check, in the which the total of hard and soft funds commitments is checked against the budget or release. If the tolerance limit is exceeded in this case, availability control issues only a warning.
This procedure ensures that postings with the "soft" commitment type can be posted as you wish, but postings with the "hard" commitment type may not exceed the budget.

In the case of postings with the "hard" commitment type, the system checks only the total of "hard" commitments.

Requirements

Note that the function described above only takes effect if you have defined availability control tolerance limits for the relevant transactions (purchase requisition, purchase order, and so on) so that availability control can issue error messages if they are exceeded.

If you have specified in the tolerance limits that availability control is to react with only a warning, all postings are allowed. However, you can display the "hard" and "soft" commitments separately in the information system.

Standard settings

If you do not maintain a commitment type profile, the standard system uses "hard" for all postings.

Activities

  1. Create a commitment type profile and assign a commitment type to the commitment value types.
  2. In a separate IMG step, assign the commitment type profile to your FM area.
