Definition
Capacity refers to the value that specifies how many attendees may be booked for an event or the minimum number of bookings to make holding the event worthwhile. This value is calculated using the capacity of the business event and the capacity of the room.
The maximum capacity is the number of attendees that can take part in an event taking the capacity of the room into account.
Use
You specify the maximum capacity to determine the maximum number of bookings that can be accepted for an event.
It is used for the allocation of booking priorities. All bookings are considered essential bookings until maximum capacity is reached. Once maximum capacity has been reached, all further bookings are placed on the waiting list.
Procedure
Enter a maximum capacity for the business event type which is valid for all events of this type. The value you specify is used as the default value for attendee capacity for the business event.
If you want to maintain a different value for one or more business events, you simply overwrite the default entry.
Enter a maximum capacity for the resource type Room which is valid for all resources of this type.
If you want to maintain a different value for one or more Rooms, you simply overwrite the default entry.
Dependencies
Capacity data (from Infotype 1042) can be maintained in several places:
- for the business event type
- for the business event date
- for the resource type 'Room'
- for resources of the type 'Room'
The system compares the capacity stored for the business event or event type with that stored for the resource or resource type. If no values are stored for the business event or resource, the values stored for the event type and resource type are taken.
